**Job Summary**:We are seeking a reliable and organized Office Administrator to support the efficient functioning of our civil & structural engineering consulting firm. The Office Administrator will play a key role in managing administrative tasks, coordinating office operations, and providing essential support to our engineering teams. This position is essential for maintaining a smooth workflow and contributing to the overall success of the organization.

**Responsibilities**:

- **Scheduling and Calendar Management**:Coordinate and schedule appointments, meetings, and conference calls for staff and management. Maintain office calendars and ensure timely reminders for upcoming events.
- **Office Operations**:Manage office supplies, equipment, and inventory, ensuring adequate stock levels. Oversee maintenance and repairs of office facilities and liaise with vendors as needed.
- **Document Management**:Organize and maintain electronic and physical files, ensuring easy retrieval and confidentiality. Assist in preparing and formatting reports, presentations, and other documents.
- **Correspondence and Communication**:Draft and edit correspondence, memos, and internal communications. Facilitate effective communication within the office and with external stakeholders.
- **Travel and Event Coordination**:Arrange travel itineraries, accommodations, and transportation for staff and clients. Assist in coordinating company events, workshops, and seminars.
- **Financial Support**:Assist with basic bookkeeping tasks, such as expense tracking and invoice processing. Collaborate with the finance team to ensure accurate financial records.
- **Health and Safety Compliance**:Ensure compliance with health and safety regulations and promote a safe work environment. Develop and implement emergency procedures and evacuation plans.
- **Team Collaboration**:Support cross-functional teams, including engineers and project managers, to ensure smooth operations. Contribute to a positive and collaborative office culture.

**Qualifications**:

- High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration or a related field preferred).
- Previous experience in office administration or a similar role, preferably in the civil & structural engineering consulting industry.
- Proficiency in Microsoft Office Suite and office management software.
- Strong organizational and multitasking skills with excellent attention to detail.
- Effective written and verbal communication abilities.
- Professional demeanor, positive attitude, and strong work ethic.
- Ability to work independently and collaboratively in a close-knit environment.
- Problem-solving skills and a proactive approach to addressing challenges.
- Knowledge of basic financial and bookkeeping principles.
