**Job Summary**:
We are seeking an organized and detail-oriented Office Assistant to join our team. This role includes a variety of clerical and administrative tasks, with a focus on supporting accounts payable/receivable functions and general office duties. The Office Assistant will be responsible and accountable to the General Manager and will provide crucial support to ensure the smooth operation of the office.
**Key Responsibilities**:
As the Employer’s Office Assistant, the Employee will be responsible and accountable to the Employer’s General Manager. Responsibilities include, but are not limited to, the following:
- **Incoming and outgoing communication**: Handle phone inquiries, direct calls to the appropriate departments, calling to inform of deliveries and assist delivery team with customer contacts and assist clients and vendors with professionalism.
- **Accounts Payable/Receivable**: Manage all necessary accounts payable and receivable functions, ensuring accurate processing and documentation.
- **Invoice Management**: Post client and vendor invoices daily, ensuring all transactions are recorded promptly and accurately.
- **Deposit & EFT Reconciliations**: Process weekly deposits and reconcile electronic funds transfers (EFT), maintaining accurate records and resolving discrepancies.
- **Website Maintenance**: Assist with updating and maintaining the company’s website, ensuring content is current and relevant.
- **Stock Management**: Receive incoming stock, allocate products to clients, and update inventory records.
- **Other Duties**: Perform other administrative and clerical tasks as assigned by management.
**Qualifications**:
- High school diploma or equivalent; additional qualifications in bookkeeping or administration are a plus.
- Previous experience in office administration, accounts payable/receivable, or a similar role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with accounting software (e.g., QuickBooks) and invoicing processes is preferred.
- Strong organizational and multitasking skills with an attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Basic knowledge of office equipment and website management.
**Job Types**: Full-time, Permanent
Pay: $45,000.00-$52,500.00 per year
