**Key Responsibilities**:

- **Writing Skills**: A strong command of the English language, both written and spoken.
- **Client Intake and Screening**: Conduct initial intake and screening calls to assess client needs and fit with our services, facilitating a streamlined entry process into our practice.
- **Scheduling**: Manage the practice calendar and clinician schedules meticulously, ensuring efficient time management and client appointments.
- **Client Greeting**: Welcome clients upon arrival with warmth and professionalism, setting a positive tone for their visit.
- **Financial Management**: Oversee tracking of client payments, send out payment reminders, and handle billing for third-party vendors such as VAC, CAF, WSIB.
- **Software and Systems**: Utilize practice management software and systems for various administrative tasks, especially handling sensitive client information with utmost confidentiality.
- **Office Management**: Ensuring that the centre is set up in a manner that facilitates clinicians’ work and clients’ safety.
- **Report to Management**:Working closely with the co-founders of the centre to ensure that operations are functioning smoothly.

**Required Skills and Qualifications**:

- **Education**: A Diploma in Office Administration or a Bachelor of Arts degree with a focus in Psychology.
- **Experience**: At least 2 years of experience in a psychology clinic or similar healthcare environment.
- **Communication Skills**: Exceptional ability to communicate effectively and empathetically, both orally and written in English.
- **Technical Proficiency**: Experience with or the ability to quickly learn practice management software.
- **Problem-Solving**: Strong problem-solving skills and the ability to work independently.
- **Confidentiality**: Working knowledge of requirements of regulated health professionals to maintain confidentiality of Patient Health Information and ability to practice within those legal requirements.

**Desired Attributes**:

- Mature, empathetic, and supportive attitude toward mental health issues.
- Experience with populations with mental health issues is considered an asset.
- First Aid certification is considered an asset.

**Working Conditions**:

- This is a part-time position with in-person shifts during business hours and flexibility to complete a portion of the shift from home at a later hour.
