Administrative Assistant

SAJO, a well-established Integrated Project Delivery company specialized in designing and building environments for more than 45 years and headquartered in Montreal, is currently looking for an Administrative Assistant for their Design Build division in the Department of Operations.
**QUALIFICATIONS AND SKILLS**
- **Experience**: Minimum of 1-3 years experience working in construction project administration.
- **Languages**:Must havegood verbal and written skills in English and French
- **Skills**: Must be detail-oriented, organized, and efficient with strong interpersonal skills and a commitment to high quality performance and optimal client satisfaction. Must be able to multi-task, work under time constraints, and manage stress.
**RESPONSIBILITIES**
Essential company position primarily providing administrative support to construction management.
As a main point of contact, represents the company and regularly interacts with visitors, contractors, professional service providers, business partners, and public employees and officials.
Sound judgment and flexibility are required for effective planning and project execution.
**RESPONSIBILITES**
- **Administrative Tasks**
- Coordinates and carries out administrative activities for project managers at all levels of the business unit, as well as any other administrative tasks deemed relevant to project progression from start to finish.
- **Communications**
- **Documentation and Archiving**
- Provides high-quality, timely, efficient, and effective services, including entering and reporting data, and carrying out document and records management.
- Takes notes and minutes of a meeting.
- Responsible for data management and record keeping systems, electronic and paper.
- Tracks project documents, such as signed purchase orders, insurances, health and safety policies, checks, waivers, etc...
- Utilizes construction management software -PROCORE - and/or tracking systems to keep project information current and accessible to a variety of users and ensures digital archiving on PROCORE.
- Helps to ensure that project contracts and bids are complete and filed on time.
- Responsible for the entire **project closure** process including the preparation of manuals given to clients at the end of the projects.
- Deals with confidential and proprietary information on a regular basis and must be able to exercise discretion and maintain confidentiality.
