**Position Summary**:
**Key Responsibilities**:

- Administers, processes, and distributes legal documents and arranges for signature, execution, safekeeping, and confidentiality of information.
- Maintains currency of file lists and filing system, precedents and updates records and lists promptly to ensure accuracy and searchability.
- Files and scans correspondence, reports, and other documents and assists with records management.
- Acts as the communications liaison by managing the communications inbox. Receives, redirects and responds, as appropriate, to communications and takes appropriate action to ensure urgent matters are dealt with quickly.
- Responsible for tracking utility registrations for all condominium files.
- Tarion: Prepare CCPs before Pre-Delivery Inspections. After the lots have closed, update Tarion BuilderLink with the final purchase price and closing reports.
- Preparation and distribution of the weekly closing tracker.
- Updating Project List when new projects are launched.
- Updating office and site distribution lists as required.
- Assist with the onboarding of new employees.
- Provide Reception relief (breaks and lunch).
- Performs other duties as assigned to meet Department objectives.

**Requirements**:

- Successful completion of post-secondary education in a Legal Assistant Program or equivalent approved combination of education and experience.
- Minimum of two (2) years of legal administrative experience in a private or public law practice.
- Strong knowledge of preparing various legal documents, contracts, agreements, and clerical administrative practices.
- Knowledge of legal interpretation, concepts, principles, terminology, statutes and regulations related to municipal law, bylaws and contracts.
- Demonstrated ability to successfully support multiple legal professionals in a busy and varied environment.
- Knowledge of and demonstrated ability in core competencies, including customer service, communication, teamwork, initiative/self-management and accountability, and flexibility/adaptability.
- Demonstrated ability to research/investigate issues and resolve problems.
- Detail-oriented with strong organizational skills and the ability to assess priorities and work independently to meet deadlines with conflicting demands and changing priorities.
- Ability to maintain confidentiality and exercise good judgement and discretion in dealing with confidential information and/or responding to inquiries.
- Exceptional written and verbal communication skills.
- Ability to work outside regular business hours as required.
- Location: In-person role located at Corporate Head Office.
