**Qualifications**:

- Education/credentials relevant to Office Administration, or equivalent combination of education and experience.
- Post Secondary Education in Business or related field.
- Minimum 1-2 years’ experience in an assistant, coordinator, or administrative role**.**

**Responsibilities**:

- Provide general administrative support to ensure the smooth running of an office on a day-to-day basis.
- Oversee and manage the office snack drawer i.e.: inventory and redemptions management.
- Record minutes at various meetings and distribute or archive them accordingly.
- Support the facilitation and implementation of office operations and procedures.
- Place office supply requisitions (i.e.: iCafe order, general office equipment, office supplies)
- Maintain and manage office supply inventory, including kitchen supplies and technology equipment.
- Assist in procurement of preferred rates from suppliers of goods and services.
- Oversee and support in coordinating all internal and external company events ie: Social Committee
- Co-ordinate Executive’s schedule, including meetings, events, speaking engagements, appointments, reservations, travel bookings, and trip management.
- Schedule office meetings/external meetings when required.
- Remain aware of the Executive’s schedule, updating and alerting them proactively regarding engagements and possible timing conflicts related to prospective or confirmed appointments.
- Maintain a well-organized electronic/paper filing system that permits easy reference and rapid information retrieval.
- Manage the Executive's receipts and complete monthly expense reports.
- Organize year-end cards/gift baskets for clients/Executive’s contacts.
- Troubleshoot and/or escalate office administration issues.
- Manage yearly MLSE tickets for Raptors/Leafs and TFC Games - create scheduling for games and allocate accordingly.
- Oversee the phone system and manage queues for managers/supervisors.
- Assist the marketing department with reviewing and ordering swag.
- Assist with workstation set up of new employees or transitioning employees ie: computers, mice, keyboards, docking stations etc

- Highly capable of time management and multitasking in a fast-paced environment.
- Exceptional attention to detail and organizational ability.
- Exceptionally high accountability standards, flexibility, and a “can do” attitude.
- Excellent interpersonal and oral communication skills.
- Proficient in English usage, spelling, grammar, and punctuation.
- Ability to exercise good judgment, show initiative, and be proactive.
