**Position Summary**

The Receptionist/Administrative Assistant will act as the first point of contact for external clients visiting the office. They will perform administrative tasks such as typing, editing, proofreading, and formatting reports, specifications, letters, and other types of correspondence. This individual is responsible for managing a wide variety of office duties and supporting various departments as needed.

**Position Responsibilities**:
Reception
- Receive courier packages, arrange for courier deliveries i.e., QA, Fedex or Purolator, etc. and sort and distribute incoming mail, supplies, and deliveries.
- Answer, receive, direct and relay telephone calls to appropriate parties.
- Possess a positive attitude for greeting visitors and clients in a friendly and warm manner upon arrival to the office or through the phone representing Hammerschlag & Joffe Inc. in a professional and courteous manner.
- Manage the sign in sheet for all visitors.

Administration
- Format and proofread specifications, update table of contents, create PDFs, combine PDFs, etc.
- Type, format, and proofread letters, memos, reports, design briefs, and specification outlines.
- Assist with the coordination of site visits to complete field review reports and review and format field review and close out documents in accordance with office standards.
- Must be comfortable with numbers to prepare monthly progress billing reviews.
- Provide support to engineers/designers for quotations or change orders which may require amendments to the original contract.
- File electronic and paper copies of project files and documents.
- Miscellaneous administrative work such as ordering food for luncheons, event planning, etc.
- Effectively and efficiently manage constantly changing priorities related to internal and external projects.
- Provide assistance to the administration team as needed.

Maintenance
- Manage and oversee all office equipment (i.e., printers) ensuring regular maintenance and repair work.
- Ensure light meters are calibrated.
- Maintain inventory of office supplies, place orders and confirm receipt of supplies.
- Maintain the office, reception area, kitchen, as well as the boardroom and conference rooms as tidy and clean.
- Correspond with cleaners of any issues.
- Manage parking issues if necessary.

**Qualifications and Skills**
- Minimum 3+ years of experience in a similar role
- Working knowledge of Microsoft Office (Outlook, Word, Excel)
- Excellent computer skills, especially typing and computer software such as PDF XChange
- Experience in managing multiple phone lines and arranging conference calls/virtual meetings
- Proficient with working within large electronic filing system
- High level of skill in written English, including spelling, grammar, and punctuation
- Strong communication skills, both written and oral
- Exceptionally strong organizational and multitasking skills with the ability to prioritize workload to meet objectives and deadlines in a fast-paced and demanding environment
- Excellent time management and ability to manage interruptions and changing priorities
- Produce accurate work with strong attention to detail
- Ability to work well under pressure, demonstrate initiative, and use good judgment in assessing difficult situations as required
- Excellent customer service skills
- Work well with all types of people i.e., clients, coworkers, cleaners, suppliers, etc.
- See change positively and adapt quickly to change in work requirements
