Executive Assistant to CEO/president

**Responsibilities**:
- Manage the President/CEO’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Draft and review correspondence, communications, presentations, and other documents on behalf of the President/CEO.
- Attend meetings, take minutes, and track action items follow up.
- Liaison between the President/CEO and other stakeholders, including but not limited to senior executives, direct reports, and clients.
- Prepare and coordinate materials for meetings and presentations, including agendas, reports, and other documentation.
- Analyze data and summarize key insights into business presentations.
- Oversee project-related documentation, including project plans, progress reports, and budgets.
- Handle confidential information with discretion and always maintain a high level of confidentiality.
- Oversee project management tasks and facilitate interdepartmental partnership to drive progress and achieve objectives.
- Partner with stakeholders to establish project objectives, timelines, budgets, and monitor progress to ensure successful project delivery.
- Maintain an open line of communication to ensure the President/CEO is well-informed and set up for success.
- Provide regular project updates to the President/CEO’s, identify any issues or roadblocks and propose solutions.
- Manage special projects as assigned by the President/CEO.
- Perform other duties as assigned by the President/CEO.
**Requirements**:
- Bachelor’s degree in business administration or a related field an asset or equivalent experience.
- Minimum 5 years of experience as an executive assistant
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Proficient in Microsoft Office Suite
- Proficient in analytics with the ability to interpret and summarize data.
- Ability to multitask and work under pressure.
- Strong attention to detail, clerical accuracy, and the ability to self-audit.
- At all times, can maintain confidentiality and exercise discretion.
- Strong problem-solving skills and ability to anticipate needs.
