EXECUTIVE ASSISTANT TO THE PRESIDENT AND CEO

Easter Seals Ontario is a registered charitable organization that has been helping children, youth and young adults reach their full potential since 1922. We assist families with the purchase of essential mobility and accessibility equipment such as wheelchairs, walkers, porch lifts and ramps, as well as communication devices, toileting aids and bathing equipment. We are also an industry leader in providing fully accessible summer camp programs at Camp Woodeden (London, ON) and Camp Merrywood (Perth, ON). Through our advocacy and public education initiatives, government consulting, and conference participation, we also raise awareness and tackle major issues children and youth with physical disabilities face.

Position Overview
**Responsibilities**:
- Provide support to the President and CEO; committees, Board of Directors and senior leadership team.
- Maintain relationships with employees, donors, community stakeholders, consultants, clients and volunteers with a high level of confidentiality, sensitivity and tact on behalf of the President and CEO.
- Maintain the complex calendar of the President and CEO, ensuring that there are no conflicts and resolving any that may arise.
- Manage correspondence and requests for information with the confidence to raise issues as appropriate.
- Schedule committee meetings, create agendas, and record and distribute minutes of meetings in a timely manner, ensuring follow up on action items as appropriate.
- Create and/or draft memos, correspondence, reports, agreements, presentations, forms and other documents; ensuring accuracy, completeness and compliance with organizational standards, policies and procedures.
- Organize travel/hotel arrangements for the President and CEO and/or senior staff as needed.
- Establish, organize and maintain a confidential office filing system and ensure consistent data management of records.
- Support and manage special projects, including research and collection of documents from a variety of sources as directed.
Board/Committee Support:
- Provide administrative support to the following Committees of the Board: Audit & Finance Committee, Fundraising Committee, Programs and Services Advisory Committee and Executive Committee.
- Coordinate governance efforts with Senior Manager, Finance and/or Director of Operations.
- Organize annual Board and senior staff retreat; preparing agenda, transcribing minutes and organizing catered meals and accommodation.
- Assist in the preparation of the Annual General Meeting including administrative support for the Scholarship Committee and Volunteer Service Awards program.
- Review and/or revise procedural and Board manual annually.
Senior Management/Office Support:
- Responsible for the monthly reconciliation of credit card charges for senior management.
- Organize guest speaker and prepare Power Point presentation for monthly all staff meetings.
- Provide administrative support for regularly scheduled bi-weekly, monthly and quarterly senior staff meetings.
Qualifications:
- University degree or college diploma in a relevant field, or equivalent combination of education and experience.
- Minimum of 5 to 10 years senior administrative experience supporting C-Level Executives, Boards and committees, preferably in a non-profit environment.
- Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent oral and written communication and interpersonal skills with the ability to collaborate and build relationships with stakeholders including staff, management, executives, external partners and organizations, donors and volunteers.
- Proficiency with Microsoft 365, including MS Outlook, Word, Excel, PowerPoint, Teams, Forms and SharePoint.
- Proficiency with virtual meeting platforms including Teams and Zoom; experience with Raiser’s Edge 7 would be beneficial.
Working Conditions: Upon completion of a successful probationary period, a flexible hybrid schedule will go into effect (with a minimum of 3 days in office with the occasional weekend and evening work required)
**Salary**: $55,000 - $65,000 (commensurate with experience)
