**Position Overview**
The Assistant, President & CEO will report and provide executive assistance to the President & CEO and provide practical and professional support to the Hanson team. This role is responsible for organizing, managing, and ensuring the smooth operation of our President’s office, to maximize production and efficiency. This individual will serve as the primary point of contact for internal and external stakeholders on all matters relating to the president’s office supply and management.
**Your Primary Responsibilities**
- Maintain and organize the President and CEO’s calendars, scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare for meetings hosted by the President & CEO, including agenda development, preparing meeting materials, room set-up, and food ordering if required.
- Prepare meeting agendas, attend meetings, and take accurate minutes. Ensure all materials and information are distributed to participants in a timely manner.
- Manage and arrange travel itineraries, accommodations, and transportation for executives, optimizing their time and comfort. Including but not limited to reservations for flights, hotels, and rental cars, with a strong understanding of company guidelines.
- Create, edit, and proofread documents, reports, presentations, and other materials as required.
- Assist in various projects, research, and data analysis, providing critical input and follow-up.
- Coordinate with other teams to support all in-house or off-site meetings, parties, and events.
- Provide effective communication with other departments by demonstrating and maintaining credibility, trust, and support from the senior management team.
- Maintain strict confidentiality regarding sensitive information and documents.
- Keep the executive office organized and well-equipped, ordering supplies when needed.
- May required to travel to the other campus, meeting/event locations
- Other ad hoc responsibilities as required.
**What You Will Bring**
- Post-secondary degree and above.
- Proven experience as an executive assistant or a similar role.
- Proficiency in office software (e.g., Excel, Word, PowerPoint, Outlook).
- Excellent communication and interpersonal abilities.
- High level of customer service skills.
- A quick learner with the ability to maintain confidentiality, flexibility, adaptability, and exercise discretion and ethics.
- Exceptional organizational and time-management skills. Able to work in a fast-paced environment.
- Detail-oriented with excellent problem-solving skills.
- May be required to travel to the other campus and various meeting/event locations.
- Pleasant and professional manner.
