**Job Description**:

- Assistant tasks_
- Assist the GM and leadership team with a range of administrative tasks.
- Participate to the weekly leadership meeting and organize minutes for follow-ups.
- Maintain the agenda of the GM and some directors.
- Coordinate files requiring leadership team intervention and follow up to ensure goals are reached and deadlines met.
- Draft and/or translate and revise texts in French and English for the GM and Directors, ensuring standardization and compliance.
- Assist Directors in preparing presentations for meetings and conferences.
- Make travel arrangements and produce expense reports for the GM and Directors
- Coordinate internal meetings (room reservations, equipment, meals, convocation, etc.), prepare agendas and take detailed minutes.
- Budget and invoicing follow-ups
- Office administration tasks_
- Participate actively in the implementation and the organization and maintenance of administrative file management system using the Microsoft 365 suite.
- Support leaders and teams in the relaunch and ongoing adoption of a standard system of work for everything to do with storing, organizing, filing, sharing and manipulating folders and files using Microsoft 365 tools.
- Coordinate special projects by identifying and gathering information as well as preparing required documentation.
- Follow up on administrative requests (service requests, computer tickets, timesheet follow-up, etc.) for management.
- See to the smooth running of employee arrivals and departures at head office by following the procedure in place (for example: orders and returns of office equipment and supplies, system access management, cards, etc.).
- Communicate internal procedures, memos, and reminders on behalf of the GM.
- Maintain various documents common to the different TDC sectors.
- Perform all other related tasks.

**Qualifications**:

- Excellent verbal communication and writing skills in French and English.
- 5 years experience in administrative support functions.
- Experience supporting a management team and as a virtual assistant.
- High ability to become familiar with a variety of concepts, practices, and procedures in travel.
- Excellent knowledge and proven experience in working with Microsoft Office 365 office Apps (OneDrive, Teams, Outlook, Sharepoint, PowerPoint, OneNote, Forms in particular).
- Ability to interact with all levels of stakeholders and adaptable.
- Self-control: the ability to handle pressure well.
- Efficiency: demonstrate effectiveness and speed of execution. Ability to handle several different files at the same time.
- Attention to detail and strong organizational skills with the ability to multi-task and manage priorities.
- Innovative and proactive.
- Hybrid mode, must be available to work in the office on occasion.
