**Job Description**:
The coordinator supports Administrative Services managers in their administrative tasks.
Administrative services include: main reception, facilities, security, fleet management,, mail, printing services, food services, corporate travel and insurance.
You monitor the various service contracts in force at the head office, check invoices, see to periodic maintenance, coordinate visits and inspections, monitor guarantees and inventories.
You group and classify the information and prepare the monthly dashboard (Dashboard/KPI) of the department.
The coordinator is an integral part of the team and is always ready to help. You are on duty at reception, replace the administrative technician's vacations, and handle mail and archive during breaks and vacations.
You provide first-class customer service and support the administrative services team. You participate with enthusiasm in all special projects.
**Main responsibilities**
**ADMINISTRATION**
- Support managers in the administrative tasks of Administrative Services.
- Collect the various data and collate performance indicators in the cumulative service table.
- Process service invoices, and re-invoice the entities if necessary.
**MAIN RECEPTION**
(in support, always, and during daily breaks, vacations and absences):
- Greet visitors and answer the phone.
**BUILDING SERVICES, MAINTENANCE AND SECURITY**:
- Coordinate service providers.
- Monitor the various service requests (tickets).
- Support the Buildings team.
- Support the team for keys, access and alarm management.
**TEAM SUPPORT (vacation and absence replacements)**:
- Document management : assist with urgent requests.
- Mail/printing: assist with mailroom.
- Participate in special projects and all other related tasks.
**Qualifications**:
- Bilingual, French and English.
- Organizational skills.
- Good priority management.
- Excellent customer service and good written and spoken communication skills.
- Ability to work as a team.
- Good knowledge of Office Suite. Advanced Excel is an asset.
Note this position is onsite, 5 days a week. Normal work hours are 8am until 4h30pm.
