Executive Assistant

**Position Description**
The Executive Assistant reports directly to the CEO. The position entails managing the CEO's daily schedule, handling communication on their behalf, and coordinating key meetings and events. The role involves a high level of confidentiality, as well as the ability to prioritize tasks and ensure the CEO's time is optimized for strategic priorities. Additionally, the executive assistant may be responsible for preparing reports, conducting research, and supporting the CEO in various administrative capacities to enhance overall organizational efficiency.
**Responsibilities**- All Executive Assistant support to the CEO, including but not limited to; Calendar management, scheduling appointments and managing travel itineraries-
- Note-taking, Google drive management and light project management-
- Filing expense reports-
- Preparation for events and panels both internal and external-
- Litmus test for organization - what’s working and not working-
- Support the Office of Chief Strategy Officer, including but not limited to;- Participate in the rollout and adoption of SquadOS-
- Assist with the updates of the SquadOS board-
- Organization and set-up and tear-down for squad meetings and events ie. room bookings, making coffee, printing tent, cards, arranging catering and supplies-
- Responsible for all squad meetings minutes, including a record of what was discussed and any action items- Board duties, including scheduling meetings and dinners, and communications- Special projects as delegated by the C-Suite team- Assist with the onboarding and training of other EAs internally and setting them up for success- Participate in and support the EA P2P Group- Assist planning events for Team True North and partners- Carries out research and reports on attendees- Event support on large scale projects like Techtoberfest, Team True North**Role Requirements**- Upholding a strict level of confidentiality, as well as compliance in partnership with the CEO- High degree of professionalism and discretion- Excellent organization and ability to prioritize tasks in a fast-paced environment- Exceptional and professional verbal and written communication- Proficient with Google Workspace tools- A proactive approach to problem solving and decision making
