**Position Overview**

The University of Calgary (UCalgary) is creating a vibrant quantum economic and scientific hub based in Calgary - Quantum City - leveraging the leading quantum science and technology programs of Campus Alberta institutions and a burgeoning UCalgary innovation ecosystem. The position works closely with the employers, funding agencies, Faculty representatives, students and other stakeholders to promote the Quantum City initiatives. This position reports to the Manager, Training and Innovation.

The Program and Internship Coordinator is responsible for coordinating the work integrated learning (WIL) programs for undergraduate and graduate programs both internal and external stakeholders. Internally, this position markets, develops, delivers and evaluates the undergraduate and graduate WIL programs, evaluates feedback, and continuously reviews and implements changes to policies and procedures to improve the programs. Externally, this position builds, fosters and enhances relationships with industry to identify, develop, and create diverse WIL opportunities for students in quantum and quantum-adjacent practice.

**Position Description**

**Summary of Key Responsibilities** (job functions include but are not limited to):

- Use creative skills to perform and assist with the professional program webpage updates to ensure that the information published on the Quantum City and UCalgary website is timely, accurate and easy for prospective and current students to view and make decisions.
- Acknowledge and respond to requests and general inquiries.
- Liaise with an interdisciplinary team on all matters related to Quantum City grant funding.
- Coordinate the approval process for the graduate student convocation lists.
- Advise current/prospective students in both a one-on-one and group setting regarding program requirements, and university policies and procedures.
- Proactively monitor student progression through their program to ensure requirements are met and provide advice and assistance to students on all aspects of their academic experience.
- Builds, fosters and enhances relationships with industry to identify, develop, and create diverse WIL opportunities for students in quantum and quantum-adjacent practice.
- Gather feedback from participating students and employers to ensure needs are met
- Review, approve, and monitor job postings for their suitability for work term placements.
- Intervene as appropriate to ensure that development opportunities are noticed by students.
- Authorize independently found positions for participation in the various programs.
- Works collaboratively with graduate Faculty Internship Coordinators to develop timelines and schedules for program processes such as workshops, meetings, events, etc.
- Facilitate pre-employment workshops, including the development of materials and alternate delivery methods.
- Serve as a backup and support other initiatives during peak times
- Maintain course information sheets
- Maintain program budget (e.g., for grants, scholarships, travel)

**Qualifications / Requirements**:

- A minimum of a four-academic year undergraduate degree required; master's degree is an asset.
- Minimum 3 years of experience within student affairs or program advising required.
- Experience working in a small, dynamic team with proven personal effectiveness and productivity is required.
- Demonstrated understanding of career-related issues, experiential or work-integrated learning, knowledge of industry job market and associated trends in order to target industries and clients is required.
- Strong planning, time management and organizational skills, as well as effective decision-making, multitasking and problem-solving ability in a deadline driven, high volume environment required.
- The ability to work independently to tight timelines, maintain confidentiality and deal effectively with overlapping and changing deadlines is required.
- Ability to think critically and creatively under pressure while exercising good judgement and discretion required.
- Excellent interpersonal and communications skills required.
- Advanced Computer skills including MS Office Suite (including Word, Outlook, PowerPoint, and Excel) and Qualtrics required.
- Ability to build relationships to accomplish goals with diverse groups within and outside of the Quantum City is essential.
- Experience dealing with interdisciplinary programs and liaising with various stakeholders would be an asset.
- Experience with professional students, a unique clientele who expect a higher level of service and faster turnaround times than is the norm would be an asset.
- In-depth knowledge of academic calendar with experience in undergraduate and graduate programs, including the ability to interpret policies, procedures and regulations would be an asset.
- Knowledge of university policies and procedures associated with the portfolio supported is an asset.
