Hospice Vaughan

Since 1995, Hospice Vaughan, a not-for-profit organization, has been helping people with life-limiting illnesses live fully in comfort and with dignity until they die, while providing support for families, friends, and caregivers. We provide a 12-bed residential hospice as well as a range of community services, including community navigation and case management, grief and family support services, day programs, and complementary therapies and wellness programs.

The Donor relations officer will support the processing of donations and data retrieval.

**Key Responsibilities**

Payroll Processing:

- Accurately process bi-weekly payroll for all employees (approx. 50) using Payworks.
- Ensure all payroll transactions are processed accurately, timely, and in compliance with Ontario regulations.
- Maintain payroll records, including timesheets, employee data, and other related documentation.
- Stay up to date with changes in Ontario payroll laws and regulations, ensuring the organization's compliance.
- Prepare and submit all required payroll tax forms and payments, including T4s, ROEs, and WSIB reports.
- Address payroll-related inquiries from employees, providing clear and timely responses.
- Assist with internal and external audits by providing necessary payroll information and documentation.
- Update employees on payroll policies and procedures as needed.
- Generate payroll reports for management as required.
- Enroll employees in benefits and RRSP
- Register new employees for Payroll, on Payworks, train employees on Payworks.
- Respond to employees regarding pay issues and general HR matters (sick/vacation time etc.)
- Assist with T4/ T4A distribution.
- Work closely with the Office Manager and Associate Director of Philanthropy.
- Staff training, managing record keeping/ certificates/register with HR Downloads.
- HR orientation of new employees -prepare name badges/welcome packages.
- Other duties as assigned.

Donor Relations
- Assisting donors completing their donations in person and on-site
- Updating records on Donor Perfect, ensuring donations are entered accurately
- Processing donations on Moneris
- Deposit cheques in Banking online portal
- Issue donation receipts
- Support and attend events as required.
- Other duties as assigned.

**Qualifications**:

- Diploma or degree in Accounting, Human Resources, Business Administration, or a related field.
- Minimum of 3 years of experience in payroll processing, preferably in Ontario.
- Hands-on experience with Payworks payroll software or a similar company is required
- In-depth knowledge of Ontario payroll regulations, Employment Standards Act, and related legislation.
- Familiarity with tax reporting requirements and procedures (e.g., T4s, ROEs).
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills.
- Proficient in Microsoft Office Suite, particularly Excel.
- Strong communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with discretion.
- Vulnerable Sector Check required, not older than 6 months.
