**The Role**
We are seeking a proactive PA and Office Administrator to support the Regional Head and manage daily operations at our Toronto office. You'll collaborate with the London-based Facilities Manager to maintain a consistent office environment with our Head Office in London. This role may include occasional HR administration tasks, demanding strong time management and discretion. This is an exciting opportunity to join a growing team, in this pivotal role you will become a valuable business partner to the Regional Head and work closely with the London-based PA team.
**PA duties will include**:
- Organising meetings and scheduling appointments, ensuring agendas and papers are shared in advance
- Plan and oversee work to ensure the Reginal Head's priorities are met and goals achieved
- Manage information flow across the team, in a timely and accurate manner
- Performing data entry, including updating records and databases such as HubSpot
- Assist with the marketing and branding, including preparing documents/materials
- Deliver a best in class customer experience at all interactions
**Office administration duties will include**:
- Providing customer service excellence including visitor management
- Ensure smooth office operations, managing meeting room requests and set up, inventory of office supplies and equipment etc.
- Organising company events (internal and external)
- Be the office representation for any building management liaisons with regular meetings
- Be actively involved with any ESG initiatives or H&S requirements
- Ensure office is updated and compliant with all office protocols
**HR duties will include**:
- Ad hoc support with HR tasks
- Update our HRIS (BambooHR) and ATS (Workable);
- Assist in facilitating onsite interviews in the office.

**Essential Skills/Competencies**
- Experience in a customer/client-facing position ideally from a financial services setting
- Attention to detail
- Organised and punctual
- Excellent written and spoken English
- Self-motivated and goal-oriented
- Driven and able to work on their own to solve problems
- Communication skills (verbal and written)
- Diary and inbox management
- IT skills (Microsoft Office software essential, Hubspot desirable)
- Teamwork/interpersonal skills
- A passion to progress into either a PA, Office Management or Project Management related role.
