Primaris REIT is currently hiring a dedicated and enthusiastic Office Services Administrator to join our team at our Head Office in Toronto, ON. As the Office Services Administrator you are instrumental in maintaining the seamless daily operations of our two Toronto office locations. This pivotal role encompasses a diverse range of administrative and clerical responsibilities aimed at bolstering the overall efficiency of our workplace. You will be supporting management through various reception & office tasks and provide administrative assistance to the People + Culture Team.
- Open and close reception daily ensuring proper security measures are followed
- Greet all visitors and staff in friendly and professional manner
- Organize and maintain Office Services documentation, contracts, contacts, etc.
- Receive, sort and deliver all incoming mail
- Coordinate and process outgoing mail and courier packages
- Take inventory of office and kitchen supplies and place orders when necessary
- Arrange for catering and other materials for meetings/events
- Set up meeting rooms/events
- Assist P+C Manager with ordering office equipment and furniture when needed as well as coordinate delivery and set-up of the furniture
- Liaise and follow up as needed with internal and external service providers
- Update Reception Procedures manual
- Arrange for building and office maintenance services when necessary
- Maintain and post office floor plans with employee data
- Assist in coordinating and set up of office social events
- Input of Office Services invoices into the accounts payable system (Yardi)
- Load/empty dishwashers in all kitchens and ensure they’re kept tidy and stocked appropriately
- Ensure all office supplies are organized and stocked appropriately
- Other duties as assigned
**Requirements**:
- 1-2 years work experience in an office environment or receptionist
- Completed or working towards college diploma in Office Administration, Human
Resources or similar field preferred
- Outstanding customer service and interpersonal skills
- Reliable and excellent time management
- Self-starter and proactive with demonstrated problem solving skills
- Ability to multitask, effectively prioritise and detail-oriented
- Experience using accounting system (preferably Yardi)
- Comfortable interacting socially with various levels of stakeholders
- Strong proficiency in MS Office (Word, Excel, Outlook)
- Experience using postage machines and on-line courier programs (i.e. FedEx)
