JOB SUMMARY
- The Church Administrator position is critical to the functioning of the Maple Grove United Church community. The position provides administrative assistance to the lead minister and also is the primary interface between MGUC and its members, tenants and contracted service providers. It is critical for the administrator to maintain excellent relationships with the above client groups as the financial viability of the community requires a committed donor base as well as satisfied tenants to continue to function as a vital, active, caring Christian community, growing in faith by celebrating God’s love._
- The primary responsibility of the administrator is to provide administrative support to the minister. This requires the ability to work independently, maintaining confidentiality and reflecting the minister’s ethos of love and inclusivity when dealing with members of the public on her behalf._
- As the primary interface to the MGUC membership you will collect individual concerns and questions and refer them to the leadership group for prompt responses. You will organize and maintain the website, keeping it current so the membership remains informed. You will report to and take direction from the lead minister to support the required aspects of worship and Christian Education._
- As the primary interface to the tenant community you will report problems as they arise in the daily operation of the church to the leadership group for their prompt resolution, updating the tenants as progress is made. You shall perform the duties of the Church Administrator as required under the Maple Grove Fire Safety plan to ensure the tenants are afforded the protection of the plan._
- As the primary interface for the contracted service providers, you shall provide support to the MGUC bookkeeper and property chair to process and approve invoices where required. For smaller jobs, you will be accountable to approve and process the invoices as required._
JOB RESPONSIBILITIES
- Membership Interface_
- You will be accountable for the following annual deliverables: i) Assembling and editing the annual report; ii) compiling the annual statistical report and ensuring that all member information is updated within Church Trac; iii) working with staff to ensure that records required by the United Church of Canada are maintained, filed and accessible. You will work with the lead minister, chair of council and any committee chair to clarify expectations in these areas._
- You will be accountable to provide administrative support to various projects the church becomes involved with from time to time. These include but are not limited to, Oakville Ready Hub quarterly meetings, Stewardship campaign, Kerr Street Mission activities, etc. You will work with the chair of council and the relevant committee chairs to clarify expectations for these projects._
- You will be accountable to provide services of the funeral co-ordinator. During the transition period, you will work with the former co-ordinator to determine the scope and duties of the position._

- You will be accountable to log and submit invoices for approval and payments to the property chair and church bookkeeper when received. You will work with the property chair and bookkeeper to clarify expectations in these matters._
QUALITIES AND SKILL REQUIREMENTS
**Required**: _You will require excellent communication skills including the office software required for communications. These would include MS Word, Power Point, Constant Contact._
- You will require excellent people skills to maintain good relationships between the various client groups and MGUC._
- Attention to detail is essential for the position._
- Sensitivity to the ethos of the United Church of Canada and its objectives to increase inclusivity and reconciliation._
- Being able to work cooperatively with others._
- Courteous and pleasant to the public_
**Nice-to-have**:
- Experience in the not-for-profit sector or other volunteer driven and funded organizations._
