**Receptionist / Clerical Administrator** is responsible for performing a diverse range of tasks day to day. From reception to standard administrative activities, your activities will be central to our operations. Reporting to the Associate Director of Operations, the Receptionist/Administrative Assistant will perform assigned activities in the best ways to meet company objectives in all areas of employee and client satisfaction.

**Receptionist / Clerical Administrator Job Responsibilities**:
**Customer Experience**
- First point of contact for clients, either by phone or at our front desk.

**Administrative Tasks**
- Open incoming office mail and direct accordingly.
- Send out customer cheques by mail as required.
- Printing, photocopying and scanning.
- Maintain a digital file for receiving mail.
- Monitor inventory of office supplies and order supplies as approved by the Associate Director of Operations
- File paperwork and update databases, ensuring that records are current, accurate and legible.
- Maintain strict confidentiality and security of business information.
- Draft presentation materials such PowerPoint slides, handouts, and agendas.
- Prepare items for shipping and liaise with local providers for pick-up and delivery
- Arrange/book for lunch meetings and other events.
- Responsible for maintaining kitchen supplies/ facilities duties - primary contact for property maintenance.
- Maintain log of incoming mail, dealer cheques and remittances.
- Edits and proofreads documents to ensure accuracy when asked.
- May perform duties involving simple mathematical calculations.
- Performs other related duties as assigned.

**Receptionist/Administrative Assistant Qualifications/Skills**:

- Friendly and professional demeanour.
- Great listening skills.
- Excellent organizational, oral and written communication skills in English and ideally French.
- Positive team player, as well as an independent self-starter.
- Strong attention to detail, creativity, and skill.
- Maintain quality standards while demonstrating efficiency.
- Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook).
- Ability to prioritize and meet deadlines in a fast-paced environment.
- You are curious and enjoy learning new things.
- Keyboarding speed of 45-60 wpm with data entry. Accuracy required.
- Must be able to exercise good judgment and maintain strict confidentiality.

**Education and Experience Requirements**:

- Minimum completion of Grade 12 with post-secondary, administrative assistant/business post-secondary Diploma is an asset.
- 1-3 years administrative experience or equivalent combination of education and experience.
- Experience with Google Suite, as well as organizational software such as Asana, is an asset.

Living close to the Oakville office, and having access to a reliable vehicle is required for this role.

Pay: $22.00-$25.00 per hour

Expected hours: 35 per week
