Job Summary
This position provides data entry and miscellaneous administrative support to the Infant Hearing, Preschool Speech and Language and Blind-Low Vision Programs while further supporting the Infant Hearing Program with scheduling needs and occasional/on-call Infant Hearing Screenings.

**Job Specific Responsibilities**:
This position thoughtfully encompasses responsibilities found in three complementary areas to support the overall functioning of specialized preschool programs.
**Data Entry**:
- Enters client demographics and relevant service visit information into Ontario’s database for Ministry-funded services for preschool aged children (HCD-ISCIS),
- Ensures all data is accurate and entered on a timely basis.
- Establishes procedures to ensure accurate collection systems (i.e. forms, templates, schedules).
- Prepares reports using program-specific software and assists participating agencies with related reports.
Administrative Support (Scheduling and other administrative tasks):
- Schedules appointments for community-based infant hearing screenings within the IHP catchment area by processing referrals and entering client information into an electronic scheduling system. Appointments may also be booked with families over the telephone.
- Determines admissibility by comparing client information to program eligibility criteria.
- Identifies families’ needs and supports timely access to service.
- Communicates appointment dates, times, clinic addresses and preparation instructions to families
- Delivers pre-written scripts, explains hearing screening, obtains and records explicit and informed consent for screening, informs parents of privacy rights and the collection/use of personal health information while ensuring thorough understanding on the part of the parent/legal guardian.
- Answers parents’ questions while recognizing professional boundaries/scope and redirects callers to appropriate resources.
- Maintains an accurate scheduling system by ensuring consistency in practices, precision in the entry of information and by reporting problems as they arise
- Provides other administrative support to the team, as needed
**Clinical Support (Infant Hearing Screening)**:
- This role includes supporting the program as an Infant Hearing Screener to provide community-based infant hearing screenings on a casual and on-call basis (may be short notice and will be asked to cover various locations throughout the city of Ottawa). Hearing screening helps identify babies who may have been born Deaf, hard of hearing or at risk of developing hearing loss in early childhood.
- Conducts newborn hearing screening using Automated Distortion Product Otoacoustic Emissions (ADPOAE) and Automated Auditory Brainstem Response (AABR)
- Adheres to protocols and maintains hearing screening performance standards set by the Ministry of Children, Community and Social Services (MCCSS).
