Clinic Manager

**Managing, planning and coordinating the operations of the clinic to include**:
Supervising all clinic staff, billing and collecting procedures, monitoring delivery of patient services, planning for space allocation, acting as liaison with patients, businesses, hospitals, academic administration and faculty.
**Responsibilities**:
- The Clinic Manager is responsible for the effective and efficient functioning of the Riverside Court Medical Clinic on a day-to-day basis.
- The Clinic Manager will also provide operational guidance and leadership to the physicians and staff ensuring that all activities in the clinic are in support of the Rideau Family Health Team mission and vision.
- Developing and implementing policies and procedures
- Addressing all patient complaints adequately either verbally or with a written response if appropriate
- Assisting in the development\implementation of cost effective policies and procedures for all administrative and operational areas
- Serving as a liaison between clinic and external agencies
- Maintain and supervise the cleanliness, aesthetics and hygiene of the clinic including managing the specialized support contractors
- Liaison with leasing, Building Maintenance and Security Companies
- Managing clinical, professional, administrative and clerical staff
- Managing the recruitment, development and appraisal of staff
- Maintain employee work, vacation and sick day schedules
- Payroll via ADP Workforce Now
- Monitor and maintain the phone system
- Will have thorough working knowledge of the EMR system (OSCARpro)
- Assist/train users on the use of all software required for their daily administrative duties
- Liaison with EMR representative with regards to any issues that may arise
- Assist in management of IT system as required
- Manage EMR access codes
- Monitor e-results (labs and faxes) to ensure that they are running properly
- Process paperwork involved with the FHO i.e.: Funding Grant Request Form
- Work closely with the Administrative Assistance in regards to Preventative Care
- Process all paperwork involved in the hiring of Locums Financial Management
- Coordinate all aspects of revenue collection including OHIP, WSIB third party fees and preventative care bonuses
- Distribute cheques to FHO Physicians
- Write cheques for payment of accounts as required
- Maintain cash boxes
- Work closely with accountant
**Working Conditions**:
- Monday to Friday, 8:00 am to 4:00 pm, may be required to put in additional hours as needed
- 30 minutes paid lunch
- The incumbent may be exposed to noise from clinic clientele and regular flow of people around the office
- The incumbent will spend long hours sitting and using office equipment and computers
- The incumbent will have a great deal of responsibility and associated pressure
**Knowledge**:
The incumbent must possess knowledge in the following areas
- Knowledge of Healthcare field
- Excellent knowledge of health care office practices, procedures and standards
- Familiarity with all office equipment: copier, multi-line phones, fax machine, etc.
- Knowledge of clinical computer systems, including clinic practice management system and electronic health record
- Must have exceptional oral and written communication skills, interpersonal skills, and the ability to work well and communicate with others
- Must be able to demonstrate accuracy in processing detailed information
- Knowledge and proper use of grammar, spelling, punctuation, proofing, document formatting and basic math skills
- Must be able to handle multiple tasks and priorities with interruptions
- An understanding of healthcare billing and claims processing

**Salary**: $32.00-$35.00 per hour
