Role Overview:

The Administrative Coordinator (CEO & Council, Committee) at CMA plays a pivotal role in supporting the Association’s CEO, the CMA Council and the CMA Committee community of senior marketers and members of the CMA. This position requires a service and member-oriented individual, who’s a great relationship-builder.

Key Responsibilities:

  • Support marketing and community meeting and event coordination, as well as the management of the CEO’s calendar.
  • Organize and attend meetings with volunteer groups, ensuring seamless communication and efficient gathering of stakeholders.
  • Preparation of CEO, Council and Committee meeting materials, capturing detailed meeting notes, developing minutes post-meeting, and following up on action items with relevant stakeholders.
  • Maintain accurate records of attendance, member engagement, and contacts for effective follow-up and engagement strategies.
  • Collaborate with other teams to support deliverables in web/database updates and event organization and content delivery.
  • Develop and manage briefing notes, presentation materials, and marketing content to support CMA's vision and objectives.
  • Support the CEO in project coordination, drafting reports, presentations, Board and Member Relations and administration.
  • Accommodate varied tasks and duties as the need arises, showcasing adaptability and a proactive approach.

Skills and Qualifications:

  • A background in administration with exposure to marketing functions.
  • Proven organizational skills, strong attention to detail, and competency in managing calendars and multiple projects.
  • Outstanding communication skills, including excellent writing and editing abilities.

·       Proficiency in Microsoft Office, Excel, PowerPoint, Canva, and project management and CRM platforms (D365).

  • Strong interpersonal skills, capable of fostering collaboration and delivering projects that meet or exceed expectations.
  • Exceptional time management capabilities coupled with demonstrated experience managing projects, and a proven ability to navigate member and stakeholder relations with a positive, service-oriented attitude.
  • Team-oriented mindset with a genuine desire to support colleagues and members to achieve collective success.
  • Professionalism and experience in managing and delivering multiple priorities succinctly.
  • Ability to handle confidential materials exercising discernment and discretion.
  • An open and adaptable disposition, willing to embrace a variety of tasks in a changing environment.
  • A minimum of 2-4 years of related experience in an administrative role with responsibilities related to project management, marketing or coordination.

Preferred but not required qualifications:

Education: University or college degree

Knowledge: Sound understanding of government at provincial and federal levels, and familiarity with current trends and developments in politics and public policy.

Language: Bilingualism (English/French) would be an asset.
