Operations & Events AdministratorLocation: Windsor (and London when required)
Reporting to: Sales Director and senior LGF Management
Working pattern: 5 days a week / 42.5 hours, including 30 min paid lunch break per day
As a company, we are proud of our heritage and the breadth and scale of what we provide, from iconic events at Royal Palaces to sporting championships, from stunning weekly installations in leading hotels to weddings across the country, not forgetting our flagship store in central London. We handle over 1,500 events a year and also look after more than 150 weddings. Each event and installation is meticulously organised and carefully created by a talented team of designers and florists.
This role is an integral administrative position that sits between the events and sales team and the operations and logistics department. Working across all departments to ensure the smooth delivery and execution of events as well as the day-to-day business.
General Day to Day Responsibilities:
- Answer and allocate incoming telephone calls efficiently and professionally.
- Assist with day-to-day sales functions, including management of event boards.
- Assist with incoming enquiries, including processing ad hoc contract orders.
- Actively support in the installation of events to ensure that the relationship with the venue and client is maintained.
- Develop a good operational knowledge of all venues.
- Nurture and develop excellent client and venue relationships.
- Update the transport department schedule with all event enquiries.
- Manage stock and update stock take on a weekly basis.
- Manage all office and kitchen supply requirements.
Key Requirements:
- Good organisational skills with the ability to plan ahead.
- Good communication and interpretation skills, with an ability to listen and take in the requirements before deciding on look and feel.
- Ability to think creatively and generate original ideas, with an interest in design and a keen eye for detail.
- A confident and reassuring phone manner able to connect with clients.
- Excellent written communication skills; emails need to be friendly, helpful, and precise.
- Impeccable communication skills, charm, confidence, and tenacity.
- Accuracy and numeracy skills are essential.
- Confident in working independently as well as in a team.
- Ability to use one’s own initiative but not afraid to ask questions.
