How You'll Help Us Better Serve Our Clients

Clark Wilson LLP is seeking a Legal Administrative Assistant for a 3-month contract with the possibility of an extension. You'll play a vital role in the growth and success of our Estates & Trusts focused practice group. You'll streamline our lawyers' schedules by attending to court arrangements, assisting with preparing court documents, and managing multiple aspects of client communication.

What You'll Be Doing

Every day will bring new and exciting opportunities to learn and grow, but below are some of the regular tasks you can expect to work on:

  • communicating with clients and potential clients and handling clients requests;
  • contacting clients for scheduling and information gathering;
  • prepare and send invoices to clients;
  • respond to billing-related inquiries from clients as needed;
  • preparing estate planning documents and reports for execution by clients;
  • preparing documents routinely used in estate administrations;
  • assisting with the organization and maintenance of estate, trust and corporate documents and records;
  • preparing reporting letters and invoices to clients;
  • scheduling court appointments;
  • managing lawyers' busy calendar and active file list;
  • preparing items to be couriered and assisting with banking and financial tasks;
  • liaising with legal assistants, paralegals, other lawyers, and clients on file progress; and
  • general administrative duties as required.

How You'll Be a Great Fit for This Role

  • graduate of a recognized Legal Administrative Assistant program or relevant experience;
  • excellent verbal and written communication skills;
  • a client-centered approach with the commitment to providing outstanding service;
  • strong technical skills, including knowledge of Microsoft Word, Excel, Outlook, Adobe, and BC Online;
  • excellent organizational skills and attention to detail;
  • the ability to prioritize a high volume of tasks and competing priorities;
  • the ability to follow instructions and adhere to strict deadlines;
  • the ability to exercise sound judgment, discretion and confidentiality and to adapt to changing demands.
