Position Summary

This position is responsible for greeting customers and visitors with a positive, professional, and customer focused demeanor while working independently to provide a high level of administrative support for the Executive team. Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memoranda, and reports.


Essential Job Functions

The following duties are normal for this position. The incumbent may perform some or all of these duties however; it is not an exclusive or all- inclusive list. Other duties may be assigned.

  • Prepares correspondence, reports, memos, presentations, budgeting materials, spreadsheets.
  • Prepares and distributes various reports within specified timelines.
  • Schedules and coordinates meetings and travel for various stakeholders as requested; manages attendee list and agenda and makes the necessary hotel, travel and/or catering arrangements.
  • Organizes meetings/seminars both locally and off-site including coordinating with vendors and managing timelines.
  • Processes purchases as required and code invoices as appropriate.
  • Maintains calendars and assists in organizing the schedules of the Executive team.
  • Serves as receptionist as required, including administering visitor registration and safety protocols as applicable and directs phone calls via the switchboard.
  • Maintains confidentiality and exercises discretion in handling sensitive information.
  • Screens mail as required; responds to information requests, provides necessary follow-up, and/or forward to appropriate party.


Education & Experience

  • High School Diploma or Equivalent
  • Minimum of 4 years of relevant experience required


Knowledge, Skills & Abilities

  • Knowledge of and ability to manage the major responsibilities, accountabilities, and organization of the function or department
  • Knowledge of processes, tools and services for managing the acquisition, maintenance and dissemination of physical and electronic information
  • Ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams
  • Excellent working knowledge of and ability to use office support tools available (e.g., Microsoft Outlook, Word, PowerPoint, Excel) as well as all video conferencing software (Teams, Zoom)
  • Knowledge of and ability to use personal computers or workstations


Physical Requirements & Work Environment

  • Primarily works in an office environment with occasional time spent in a production and/or warehouse setting
  • Frequent standing/walking may be required
