PROGRAM COORDINATOR JOB DESCRIPTION

POSITION SUMMARY

Congregation Emanu-El is an egalitarian Conservative synagogue in Victoria, British Columbia. We are a growing community, thriving in a 160 year-old heritage synagogue.

The Program Coordinator is responsible for the full cycle of planning and delivery of the educational, cultural, and social programmes determined as priorities by the Board of Directors and certain of its mandated Committees. This means this individual will work closely with these committees, the Rabbi, and the Executive Director (the direct supervisor of this position) to ensure that the assigned program activities are designed and implemented to effectively reach their targeted audiences.
This is a full-time position (35 hours per week on average) but the days and hours worked can vary depending on the program activity schedule. The position will involve some evening and Sunday work, so some flexibility is required.
The salary is in the 45,000 to $55,000 (CDN) range. The starting salary will be negotiated between the parties and will reflect the candidate’s knowledge, skill, and experience. Benefits: three weeks annual leave plus the major Jewish holidays. The position includes a downtown parking spot.

KEY POSITION RESPONSIBILITIES
1. Program Identification
The Program Coordinator will work with designated committees or individuals to help them identify those program activities that should be prioritized for the current program cycle (usually a budget year). This will then become the annual program plan, although this does not preclude responding to additional or substitute activities because of changing circumstances or priorities.

2. Program Planning
Working with Committees, etc., the Program Coordinator will develop the programs’ content and purpose; who will deliver the activity; where, when and how it will be delivered; required equipment; a communications strategy for reaching the desired audiences; a budget for the activity and possibly sourcing funds; and other needs for that specific activity. Each planned activity will include a timeline for the key steps required to deliver the activity and who is responsible for carrying out each step. Part of this overall planning process is to clearly identify the volunteer resources needed in addition to those tasks that will be performed by the Program Coordinator.

3. Program Delivery
The Program Coordinator is responsible for ensuring that the activity is implemented as planned once it has been approved. This means ensuring that the key steps identified in the plan are completed as scheduled. This also includes ensuring that any volunteer resources are fully briefed on the key details of their involvement, such as emceeing, introductions, setup and cleanup, etc..

4. Program Follow-up
The Program Coordinator will complete a brief report to the Board for program activity that includes a summary description, including numbers that attended, feedback received, and issues that should be considered for future activities. The Program Coordinator will also assist Committees as appropriate to complete their AGM Report.

KNOWLEDGE, EXPERIENCE AND PERSONAL SKILLS REQUIRED
1. Program Planning and Delivery: This position requires a detailed knowledge of, and demonstrated experience with, the full cycle of planning and delivering program activities.

2. Communications: The Program Coordinator must have demonstrated skills in effectively communicating orally and in writing to both groups and individuals in diverse settings. This person will be a sensitive listener and able to make people feel heard and comfortable.
This person must be experienced in using popular electronic media and network platforms to reach potential audiences for synagogue program activities. Some experience in website design or management an asset but not a requirement.

3. Familiarity with Jewish Culture: The Program Coordinator must have a reasonable understanding of Jewish culture and customs and how these might affect the planning and delivery of community programs. Previous experience in assisting in the delivery of some form of Jewish-oriented programs would be an asset but is not essential as there is currently a wealth of such expertise in the Emanu-El community.

4. Supervision and Oversight: In consultation with the Rabbi and parent liaison, the Program Coordinator will be the designated supervisor and resource for the Youth Group Leader. This means providing support, guidance and affirmation to the person and playing an active role in the design and delivery of youth-oriented programs. This role will also involve the completion of any formal supervision documents.

5. Organizational Abilities: The Program Coordinator must possess and demonstrate a high level of organizational skills. These include effective time management, priority setting, and the ability to respond calmly and effectively to unanticipated problems. The ability to understand the working dynamics of the organization and its members and staff, and to work effectively as a team player within those dynamics, is of key importance.
