Role Overview:

As a Document Control Specialist, you will ensure the timely, accurate, and efficient preparation and management of documents. Key responsibilities include:

  • Maintaining document control folder structures.
  • Managing project document distribution matrices.
  • Implementing project-specific document control procedures.
  • Updating and maintaining the document register in DC software.
  • Assigning document numbers.
  • Releasing fabrication drawings and documents according to project distribution lists.
  • Preparing shop fabrication binders.
  • Verifying document action requests completed by the projects team.
  • Troubleshooting documentation issues and resolving them with relevant personnel.
  • Handling client transmittals through DC software or client-specified methods.
  • Organizing, scanning, renaming, filing, and maintaining engineering documentation for projects.
  • Submitting CRN for designated projects.
  • Uploading and maintaining BOM files on the ERP system.
  • Creating and updating item numbers and general housekeeping on the ERP system.
  • Archiving completed projects.
  • Assisting with IOM manuals.
  • Performing miscellaneous tasks as assigned by the Document Control Manager.


Requirements
  • Five years of experience in document management.
  • Post-secondary education and/or a related diploma is an asset.
  • Training in document management, office administration, or a related technical discipline.
  • Strong understanding of engineering and construction documentation.
  • Proficiency in industry best practices.
  • Understanding of financial metrics.
  • Ability to produce high-quality work under competing priorities and strict deadlines.
  • Proficiency in Aconex, Bluebeam, MS Office suite (Word, Excel, PowerPoint), Outlook, and Teams.
  • Excellent verbal and written communication skills.
  • Strong time management and organizational skills.
  • Exceptional interpersonal skills with the ability to interact positively with all levels of staff.
  • Sensitivity and discretion when working with confidential information.
