Executive Administrative Assistant

The Government of Saskatchewan is seeking a highly organized and detail-oriented administrative professional to join our team as an Executive Administrative Assistant.
Key Responsibilities- Provide executive-level administrative leadership and office management support to the Executive Director of the Operations and Infrastructure branch and team.
- Manage the Executive Director's calendar, prioritize tasks, and schedule meetings.
- Assemble briefing materials for the Executive Director in preparation for meetings.
- Plan, schedule, and coordinate travel and logistics for meetings, training sessions, and other events.
- Monitor administrative processes and make improvements to ensure optimum efficiency.
- Train, mentor, and supervise administrative staff within the office.
- Draft, record, proofread, and edit correspondence in accordance with Government of Saskatchewan visual identity standards.
- Participate in and coordinate management meetings, including drafting and distributing agendas, recording minutes, and tracking action items.
- Manage incoming and outgoing correspondence, ensuring proper distribution.
- Maintain manual and electronic filing systems, bring forward records, and manage records management systems.
- Verify, code, process, and track invoices for approval and payment, ensuring policy compliance.
- Compile expense information and prepare budget reports for review.
- Order supplies and handle office equipment repairs and furniture replacement.
- Independent and confident in organizing, prioritizing, and completing multiple tasks while dealing with frequent interruptions and tight deadlines.
- Proficient in managing budget activities and monitoring office expenditures.
- Approachable and collaborative to build strong working relationships.
- Exceptional communicator, both verbally and in writing.
- Innovative to identify and make process improvement recommendations.
- Thorough and accurate to ensure quality work.
- Adaptable to meet new challenges as they arise.
- A combination of formal education in business or office administration combined with senior-level administrative work experience.
- Experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
