Position Overview
Role Summary
The Executive Assistant plays a pivotal role in providing comprehensive support to the Vice President. This position is crucial for ensuring seamless operations by managing schedules and communications effectively. Responsibilities include following up on action items, maintaining calendars, coordinating travel logistics, organizing files, and preparing correspondence along with presentation materials.
** The selected candidate will assist both the Regional Vice President for Southern Saskatchewan and the Regional Vice President for Central Saskatchewan**
Key Responsibilities
- Oversee and organize executive calendars, coordinate meetings and conferences, ensuring all necessary materials and catering are arranged
- Serve as the RVP's representative for email and phone communications during absences, managing issues and prioritizing tasks for the RVP's attention upon their return
- Develop multi-channel communications, meeting materials, documents, presentations, and spreadsheets
- Coordinate all administrative requirements, maintain accurate records for the team, including preparing and verifying monthly expense claims, travel expenses, and updating vacation and absence records for the executive team
- Organize quarterly town hall meetings, employee recognition events, and other team-building activities
- Maintain global distribution lists and facilitate group-wide communications
- Enhance team awareness, extend invitations to key business partners, and ensure effective knowledge of all relevant resources and services within the organization
Essential Qualifications
- Exceptional interpersonal and communication skills (both written and verbal) with the ability to engage with all levels of management and staff
- Proactive approach, strong prioritization skills, and the ability to work independently as well as collaboratively
- Capacity to handle sensitive and confidential information with the utmost discretion
- Meticulous attention to detail, ability to remain composed under pressure, and self-assurance
- Natural aptitude for fostering constructive and cooperative working relationships across the organization
Preferred Qualifications
- Ability to anticipate needs, demonstrate resilience in challenging situations, and persist to achieve objectives
- Professional demeanor, initiative, enthusiasm, and a strong sense of urgency
- 4+ years of experience in Executive Administration within the Financial Services sector
