Position Overview

Role Summary

The Executive Assistant plays a pivotal role in providing comprehensive support to the Vice President. This position is essential for managing schedules and communications to enhance operational efficiency. The successful candidate will be responsible for following up on action items, maintaining calendars, coordinating travel logistics, organizing files, and preparing correspondence along with various presentation materials.

** This role involves supporting both the Regional Vice President for Southern Saskatchewan and the Regional Vice President for Central Saskatchewan. **

Key Responsibilities

  • Oversee and manage executive calendars, coordinate meetings and conferences, ensuring all necessary materials and catering needs are met.
  • Act as the delegate for the RVP in handling emails and phone calls during their absence, prioritizing issues for their attention upon return.
  • Develop multi-channel communications, meeting materials, forms, documents, presentations, and spreadsheets.
  • Coordinate all administrative requirements, maintain accurate records for the team, including preparing and verifying monthly expense claims, travel expenses, and updating vacation and absence records for the executive team.
  • Organize quarterly town hall meetings, employee recognition events, and other team gatherings.
  • Maintain the global distribution list and disseminate group-wide communications.
  • Enhance team awareness, extend invitations to key business partners, and maintain effective knowledge of available resources and services within the organization.

Essential Qualifications

  • Exceptional interpersonal and communication skills (both written and verbal) with the ability to collaborate with all levels of management and staff.
  • Proven ability to take initiative, prioritize tasks, work independently, and function effectively as part of a team.
  • Capability to handle sensitive and confidential information with the utmost discretion.
  • Strong attention to detail, ability to remain calm under pressure, and confidence in decision-making.
  • Natural ability to foster and maintain constructive and cooperative working relationships across the organization.

Preferred Qualifications

  • Ability to anticipate needs, demonstrate resilience in challenging situations, and persist to achieve objectives.
  • Professional demeanor, proactive attitude, enthusiasm, and a sense of urgency.
  • Minimum of 4 years of experience in an Executive Administrative role within the Financial Services industry.
