The Role

As the Executive Assistant - Office of the CEO, you'll play a critical role in supporting the Office of the CEO. Reporting to the Manager, Office of the CEO, you'll provide high-level administrative support, handle sensitive and confidential information, calendar management, coordinate meetings, manage travel arrangements, and act as a liaison between executives and internal/external stakeholders.

This role requires exceptional organizational skills, attention to detail, and the ability to thrive in an ambiguous, hypergrowth environment.

Key Responsibilities
  • Calendar and Communications Management: Proactively manage and prioritize the CEO's calendar, including scheduling meetings, appointments, and events.
  • Handle confidential information with discretion and maintain a high level of professionalism at all times.
  • Follow up with stakeholders to ensure deadlines are met and action items are acted on.
  • Provide ad-hoc support in a fast-paced environment.
  • Travel and Logistics: Coordinate domestic and international travel arrangements, including flights, accommodation, and transportation.
  • Reconcile and process travel expenses in accordance with company policies.
  • Meeting and Events Coordination and Support: Prepare and coordinate meeting materials, including agendas, presentations, and reports.
  • Attend meetings as necessary, take accurate minutes, and distribute action items to ensure timely follow-up.
  • Provide logistical and administrative support for org-wide and cross-functional meetings and events.
  • Provide strategic, operational, administrative, and project support in areas such as compliance, social media content management, marketing, and other relevant departments as required.
  • Project Management: Assist in managing key projects, ensuring deadlines are met and deliverables are achieved.
  • Collaborate with various departments to coordinate project activities and communications.
  • Prepare reports and presentations as required.
Requirements
  • 3+ years of experience as an Executive Assistant in a fast-paced environment to a CEO, Founder, or other C-Suite Executive.
  • Exceptional organizational skills, attention to detail, and the ability to thrive in an ambiguous, hypergrowth environment.
  • Intuitive and proactive, with high emotional intelligence to read a room and understand key stakeholders.
  • Excellent prioritization skills, with the ability to manage multiple tasks and deadlines.
  • Assertive and confident, with the ability to follow up with people and get things done on time.
  • Compelling communicator, with the ability to put together a great presentation and draft an easy-to-follow email.
