Job Summary

The President's Office at EightSix Network is seeking a highly skilled and experienced Executive Assistant to provide administrative support to the President.

Key Responsibilities

  • Establish and maintain the President's schedule, prioritizing information flow and exercising discretion in meeting arrangements.
  • Assist the President's Office in interacting with executives, management, and staff, fostering strong relationships and effective communication.
  • Manage the President's travel, speaking engagements, and expense reimbursements, ensuring seamless execution and timely completion.
  • Prepare for Executive Committee, Board of Governors, and Annual General Meeting, coordinating meeting dates, tracking attendance, and providing background materials.
  • Research new member background information and prepare documents for approval at Executive/Board meetings.
  • Liaise with Executive Committee members on various issues and topics, ensuring timely and effective communication.
  • Assist with prospective member sales funnel, scheduling meetings with staff and organizing approval and nominations.
  • Support new member onboarding and nominations committee, maintaining schedules and coordinating meetings as necessary.
  • Assist with scheduling events, speakers, and providing onsite support when required.
  • Respond to emails and telephone inquiries from staff and external contacts, providing timely and accurate information.

Requirements

  • 3+ years of Executive Assistant experience
  • Strong calendar management skills
  • Competence in recording and transcribing meeting minutes
  • Extensive knowledge of MS Office (Word, Excel, Outlook)
  • Proficient verbal and written communication skills
  • Proficiency in effective time management skills, including prioritization, task delegation, and meeting deadlines
  • Strong interpersonal abilities to establish a broad network of relationships
  • Capacity to uphold strict confidentiality and demonstrate mature judgment, tact, and discretion
  • Exceptional organizational skills with an adept ability to prioritize tasks effectively
