Executive Support Professional

We are seeking a highly organized and detail-oriented administrative professional to support our Corporate Affairs & Communications team across North America. The ideal candidate will have exceptional verbal and written communication skills, proficiency in MS Office, and other technical skills.
Key responsibilities include anticipating and managing administrative needs of the team, coordinating travel arrangements and scheduling meetings across multiple time zones, and helping organize team activities and prioritize daily tasks and long-term responsibilities. Additionally, the successful candidate will work with leaders to manage weekly workflow, meetings, pending decisions, calendars, messages, and incoming materials for review. They will also assist with proofreading and editing briefing materials and presentations, manage monthly expense reports and process purchase orders, invoices, and vendor information within deadlines. Furthermore, they will support executive visits and engagements with meeting planning, travel arrangements, catering, and other logistical needs, provide support to communications teams on event planning and logistics, communicate effectively on behalf of the team to outside vendors and business partners, and handle confidential, sensitive, and non-routine information and matters with discretion, confidentiality, and integrity.
The successful candidate will be a go-getter with an optimistic outlook and positive attitude, have interest, education, or experience in political science and/or government affairs, and at least five years of prior work experience in an administrative capacity; three years of previous experience in a scheduling or executive assistant role, preferably at a senior management and c-suite level is preferred. They will have thorough knowledge of Microsoft Word, Excel, SAP, Concur, and Outlook, strong written and verbal communication skills, ability to be a self-starter who takes initiative and can work autonomously but knows when to ask for guidance, excellent interpersonal skills and the ability to remain calm under pressure and meet a heavy workload, ability to plan, set priorities, and stay organized, and ability to produce and implement consistent systems for keeping track of overflow of information.
