Job Summary

The Shishalh Nation Government District is seeking a highly organized and detail-oriented Administrative Support Specialist to provide administrative support to the SNGD Manager and other staff. The successful candidate will be responsible for attending meetings, preparing agendas and minutes, and providing project management support.

Key Responsibilities
  • Meeting Support: Attend SNGD and Advisory Council meetings, prepare agendas, minutes, and reports, and distribute associated information.
  • Project Management: Provide project management support by using various computer systems and applications to input, track, and update tasks.
  • Administrative Support: Provide administrative support to the SNGD Manager and other staff, including preparing correspondence, memos, and documents.
  • File Management: Maintain SNGD files and support a confidential records management/filing system.
  • Calendar Management: Maintain a department calendar to track and coordinate meetings, work demands, and critical dates/deadlines.
  • Correspondence: Review and prioritize incoming correspondence directed to the SNGD Manager, reroute or copy as appropriate, and attach relevant files or related correspondence.
Qualifications and Skills
  • Education: Administration, Legal Assistant, or Business Administration Certificate or equivalent; Diploma preferred.
  • Certification: Certification in Local Government Administration or equivalent work experience preferred.
  • Experience: Two (2) years of administrative assistant experience supporting management and teams, preferably within a First Nations environment.
  • Technical Skills: Experience working with various office systems and equipment.
  • Knowledge: Knowledge of shíshálh Nation programs and services or willingness to learn.
  • Abilities: The ability to be aware of and understand the Nation's Self-Government Agreement, Constitution, Community, and Strategic Plan is a must.
  • Previous Experience: Previous experience with municipality government, legislation interpretation and application, bylaw drafting, researching, property tax, grant writing, budgeting, and customer service.
  • Communication Skills: Effective verbal and written communication skills. Excellent organizational skills.
  • Accuracy and Confidentiality: Ability to maintain a high level of accuracy and confidentiality.
  • Criminal Records Check: Able to submit an acceptable Criminal Records Check before the start date.
  • Driver's License: A valid driver's license, with a clean driver's abstract, is an asset.
