Job Summary

Community Agency is seeking a highly skilled Finance and Operations Coordinator to join our team. As a key member of our finance department, you will be responsible for providing support to our experiential marketing division and ensuring the smooth operation of our financial systems.

Key Responsibilities

  • Maintain accurate and up-to-date accounts payable and receivable records
  • Manage cash flow forecasts and job-based financial accounting systems
  • Assist with program reconciliations and cost/budget management
  • Report to the Finance Controller on finance matters

Account Receivables

  • Update client PO database and status
  • Submit invoices and schedule client communications for open invoices
  • Manage client management systems (Tungsten, Taulia & Ariba)

Job Opening Process

  • Manage the project management system
  • Configure, invoice scheduling, and ensure all data is updated on a regular basis

Month-end Reconciliation

  • Process month-end credit card reconciliations
  • Ensure all supplier invoices are approved/processed in a timely manner

Accounts Payables

  • Review Purchase Orders
  • Process AP using an AP automation tool
  • Assist the Finance controller with the weekly vendor cheque run

Systems and Tools

  • Support the administration of other agency tools (expense app, travel booking system)

Requirements

  • Post-secondary degree in a relevant field (Accounting/Finance/Business administration)
  • Experience with accounting software an asset (job-based accounting)
  • Good understanding of federal and provincial taxes
  • Proficiency with MSFT Office products, including Excel
  • Well-organized, detail-oriented, and able to manage workflow in an efficient and effective manner
  • Strong communication skills – verbal and written
  • Reliable and willing to put in time when required to meet month-end & year-end deadlines
