Overview

We are seeking a detail-driven professional to coordinate the delivery of critical building operations services in a dynamic role combining administrative expertise, vendor management, and operational oversight.

This position plays a pivotal role in fostering strong client relationships and maintaining top-tier industry standards.

Salary and Benefits

The successful candidate will receive an hourly salary of $22, with the possibility of extension beyond the initial 3-week period. This is a full-time, Monday-to-Friday position with 37.5 hours per week, based in Montreal.

Job Description

As our ideal candidate, you will be responsible for:

  • Processing service requests and maintaining records to support reporting and analysis;
  • Ensuring work orders and procurement align with contractual obligations and organizational standards;
  • Developing scopes of work and coordinating with service providers for timely project completion;
  • Maintaining preventive maintenance schedules, monitoring vendor performance, and administering service contracts;
  • Conducting regular inspections to ensure compliance with cleaning and operational standards;
  • Promoting a healthy and safe work environment, ensuring adherence to health, safety, and environmental policies;
  • Addressing incidents according to established procedures and maintaining accurate safety documentation;
  • Facilitating effective communication between clients, tenants, and service providers;
  • Preparing purchase orders, managing invoicing, and addressing discrepancies in financial reporting;
  • Supporting finance and management teams by generating accurate operational and financial reports;
Requirements

To succeed in this role, you will need:

  • A high school diploma;
  • At least one year of relevant experience in office administration or service coordination;
  • Bilingual fluency in English and French, enabling clear communication and excellent service delivery in diverse settings;
  • Excellent interpersonal, verbal, and written communication skills;
  • Strong organizational and multitasking abilities to manage concurrent tasks effectively;
  • A strong customer orientation and ability to work collaboratively within a team environment;
  • Good computer skills, including proficiency in Microsoft Office (an asset);
  • Familiarity with Oracle Cloud (an asset);
  • Knowledge of financial management software (an asset);
  • Knowledge of tendering processes (an asset).
