About the Role

We are seeking an experienced Office Administrative Assistant to join our team at Ontario Ltd.

Job Summary

This is a permanent opportunity for a highly organized and detail-oriented individual who can provide administrative support to our team members.

Key Responsibilities
  • Coordinate seminars, conferences, and meetings, ensuring seamless logistics and smooth execution.
  • Record and prepare minutes of meetings, maintaining accurate records and updating as necessary.
  • Determine and establish office procedures and routines, streamlining processes for efficiency.
  • Schedule and confirm appointments, managing calendars and coordinating travel arrangements.
  • Answer telephone calls, relay messages, and respond to electronic enquiries in a professional manner.
  • Compile data, statistics, and other information, providing valuable insights to inform decision-making.
  • Order office supplies, maintain inventory, and manage equipment, ensuring a well-stocked and functional workspace.
  • Greet visitors, direct them to contacts or service areas, and provide exceptional customer service.
  • Set up and maintain manual and computerized information filing systems, ensuring accessibility and accuracy.
  • Type and proofread correspondence, forms, and other documents, maintaining high standards of quality and attention to detail.
Requirements
  • Post-secondary education (college, CEGEP, or equivalent) with a duration of 1-2 years.
  • Minimum 1 year of experience in an administrative role, preferably in real estate.
Skills and Qualifications
  • Proficient in MS Excel and MS Office, with the ability to learn new software quickly.
  • Excellent communication and interpersonal skills, with a strong emphasis on teamwork and collaboration.
  • Ability to work under pressure, meeting deadlines and managing multiple tasks simultaneously.
  • Attention to detail, with a focus on accuracy and precision in all aspects of work.
  • Flexibility, reliability, and organizational skills, with the ability to adapt to changing priorities and circumstances.
