About the Role

We are seeking an experienced Administrative Assistant to join our team at Geosyntec Consultants International Inc. as an Office Coordinator. This is a permanent position that requires a high level of organizational skills, attention to detail, and excellent communication skills.

Key Responsibilities
  • Coordinate and Manage Office Operations
    • Oversee the daily activities of the office, ensuring a smooth and efficient workflow.
    • Manage and maintain office supplies, equipment, and inventory.
  • Provide Administrative Support
    • Assist senior management with administrative tasks, such as preparing reports, presentations, and correspondence.
    • Coordinate travel arrangements, itineraries, and reservations.
  • Manage Records and Filing Systems
    • Set up and maintain manual and computerized information filing systems.
    • Ensure accurate and up-to-date records and files are maintained.
  • Communicate Effectively
    • Answer telephone calls, relay messages, and respond to electronic inquiries.
    • Provide excellent customer service to internal and external clients.
  • Perform Data Entry and Analysis
    • Enter data into computer systems, ensuring accuracy and attention to detail.
    • Analyze data to identify trends and provide insights to senior management.
  • Manage Contracts and Financials
    • Assist with the preparation and management of contracts, agreements, and financial documents.
    • Ensure accurate and timely payment of invoices and expenses.
  • Maintain Confidentiality and Discretion
    • Ensure the confidentiality and discretion of sensitive information.
    • Adhere to company policies and procedures regarding confidentiality and data protection.
Requirements
  • Education
    • College/CEGEP diploma or equivalent.
  • Experience
    • 2 years to less than 3 years of experience in an administrative role.
  • Skills
    • Excellent written and verbal communication skills.
    • Strong organizational and time management skills.
    • Ability to work independently and as part of a team.
    • Proficient in MS Office, including Excel, Word, and Outlook.
