We are a leading accounting firm seeking an experienced Administrative Services Specialist to join our Ottawa office team.

Key Responsibilities

  • Provide administrative support to teams, including calendar management, email responses, and document preparation.
  • Coordinate meetings, appointments, and events, ensuring seamless execution and timely follow-up.
  • Maintain confidential records, files, and materials, adhering to strict data protection protocols.
  • Update and maintain corporate databases, ensuring accuracy and up-to-date information.
  • Prepare invoices, client billings, and other financial documents, ensuring timely submission and reconciliation.
  • Provide relief to the reception team, ensuring seamless coverage and excellent customer service.
  • Assist with special projects, as assigned by the Director of Operations, demonstrating flexibility and adaptability.

Requirements

  • Post-secondary diploma in Business Administration or a related field.
  • Minimum 2 years of experience in administrative support, with a strong track record of delivering high-quality results.
  • Excellent organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong interpersonal skills, with the ability to build effective relationships with colleagues, clients, and stakeholders.
  • Proficiency in MS Office, with a strong understanding of Word, Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills in English, with the ability to communicate complex information in a clear and concise manner.
  • Oral and written communication skills in French are an asset.
