Position Overview

We are seeking a dedicated Administrative Assistant to join our dynamic team at VERICO The Financial Forum Ltd.. This role is essential in ensuring the smooth operation of our office and supporting our staff in various administrative tasks.

  • Work Term: Permanent

  • Hours: 40 hours per week
  • Education: College/CEGEP
  • Experience: Will train or equivalent experience
Key Responsibilities
  • Supervise and guide other staff members
  • Establish and implement effective policies and procedures
  • Provide training and support to new employees
  • Record and prepare minutes for meetings, seminars, and conferences
  • Determine and set office procedures and routines
  • Schedule and confirm appointments efficiently
  • Respond to electronic inquiries promptly
  • Compile and analyze data, statistics, and other relevant information
  • Advise senior management on administrative matters
  • Address employee questions and concerns
  • Order and manage office supplies and inventory
  • Welcome visitors and direct them to appropriate contacts or service areas
  • Set up and maintain both manual and computerized filing systems
  • Type and proofread various documents, including correspondence and forms
  • Deliver exceptional customer service
  • Consult with clients post-sale to provide ongoing support
  • Assign, coordinate, and review projects and programs
  • Oversee the administrative activities of the establishment
  • Review and enhance new administrative procedures
  • Establish work priorities and ensure adherence to procedures and deadlines
  • Coordinate and plan for office services, including accommodation, relocation, and maintenance
  • Assemble data and prepare periodic and special reports, manuals, and correspondence
Technical Skills
  • Proficient in MS Excel, MS Outlook, MS Windows, MS Word, and MS Office
  • Familiarity with database software and electronic mail systems
