Key Responsibilities

  • Manage the scheduling and coordination of patient appointments, including urgent assessments and complex interdisciplinary meetings, ensuring timely communication with patients and healthcare professionals.
  • Facilitate patient registration upon arrival, ensuring all demographic and relevant information is accurate and complete, and notify the appropriate healthcare staff of patient arrivals.
  • Conduct referral processes, which include gathering necessary information for specialty clinics, performing data entry, and managing patient documentation.
  • Maintain comprehensive records through data entry, information collation, and log management, ensuring accurate tracking of patient statistics.
  • Prepare and distribute various documents, including correspondence, reports, and meeting minutes, utilizing word processing and spreadsheet software to ensure clarity and professionalism.
  • Provide reception and clerical support, including answering phone inquiries, greeting patients, and managing daily schedules, while directing complex issues to the appropriate personnel.
  • Offer administrative assistance to senior management and departmental staff, including meeting coordination, document routing, and general office management tasks.
  • Undertake additional duties as required to support departmental operations.

Qualifications and Skills

  • Completion of Grade 12 and two years of relevant experience, or an equivalent combination of education and experience.
  • Proficient typing skills (minimum 45 words per minute) and knowledge of medical terminology.
  • Strong verbal and written communication abilities.
  • Excellent interpersonal skills and the ability to work collaboratively.
  • Organizational skills and the ability to manage multiple tasks effectively.
  • Capability to operate relevant office equipment and perform physical tasks associated with the role.
  • A commitment to fostering reconciliation and understanding of Indigenous Peoples' rights and historical contexts is highly valued.
