Position Overview

The Enrollment Systems Project Manager plays a crucial role in formulating strategies and spearheading the organizational framework of systems, processes, and communications that significantly affect the student experience at the College of New Caledonia. This position is tasked with directing, developing, and implementing enrollment initiatives and enhancements while maintaining a student-focused approach that ensures an optimal experience for all students.

Key Responsibilities

  1. Facilitates business enhancements and provides leadership in project management for enrollment-related systems, processes, and communications, collaborating with administrators, faculty, and staff across the institution.
  2. Leads comprehensive modernization initiatives that directly influence students, staff, and faculty, including the deployment of self-service technologies and associated processes, utilizing established business process, project, and change management methodologies.
  3. Partners with other process improvement advocates throughout the college to foster a culture of continuous enhancement.
  4. Manages the creation and upkeep of process documentation and training materials, assisting team members in developing technical proficiency.
  5. Assists the Manager of Continuing Education, Registrar, and Associate Registrar in cultivating a high level of business process and system knowledge to deliver student-centered consulting to college leadership and stakeholders.
  6. Applies sound project management practices in alignment with Project Management Institute (PMI) standards.
  7. In collaboration with Institutional Research, provides guidance, training, and direction to stakeholders to validate and enhance data collection, standards, integrity, scheduling, reporting, and problem-solving.
  8. Acts as a liaison between various departments, working closely with Information Technology Services on projects related to Enterprise Resource Planning (ERP) and Student Information System (SIS) products, ensuring optimal system performance.
  9. Oversees fee structures to ensure accurate calculations for students.
  10. Stays informed about system management practices, emerging technologies, and software advancements through ongoing education and professional relationships.
  11. Engages in committees and organizations both within and outside the college to remain updated on current trends and regulatory requirements.
  12. Evaluates, mentors, and provides constructive feedback to teams and individuals to enhance system utilization, data management, and project management skills.
  13. Utilizes Strategic Enrollment Management principles in all communications.
  14. Creates and maintains communication strategies that align with enrollment objectives, ensuring consistency and adherence to branding guidelines.
  15. Develops metrics for communication effectiveness and monitors activities to meet institutional goals.
  16. Researches and implements best practices and innovative communication models.
  17. Ensures that all team members are well-versed in the policies and procedures governing the operations of the Registrar's Office and Continuing Education.
  18. Participates in meetings and committees as designated by the Manager of Continuing Education.
  19. Fosters a positive work environment through professional interactions with students and colleagues.
  20. Contributes to the achievement of the college's vision, mission, and goals while supporting the needs of learners.
  21. Performs additional related duties as required.

Qualifications

  1. Bachelor's degree or higher in Business, Information Systems, or a related field.
  2. Project Management Professional Certification is preferred.
  3. A minimum of 5 years of relevant experience in a post-secondary institution, including project management experience. Equivalent combinations of education and experience may be considered.
  4. In-depth knowledge of post-secondary operations, program offerings, and admission/registration policies.
  5. Demonstrated leadership qualities including initiative, decision-making skills, creativity, and accountability.
  6. Ability to synthesize data for process optimization.
  7. Experience in policy development and administration.
  8. Strong technical skills and a willingness to learn new systems and tools.
  9. Proficient in computer applications, including ERP/SIS products, CRM systems, and data mapping software.
  10. Exceptional interpersonal skills across diverse populations.
  11. Experience in public speaking and the ability to convey technical information clearly.
  12. Proven ability to manage multiple projects effectively and meet deadlines under pressure.
  13. Capacity to maintain confidentiality regarding sensitive information.
  14. Strong project management skills and attention to detail.
  15. Ability to analyze processes and implement improvements.
