Position Overview
The Enrolment Systems Project Manager is tasked with formulating strategies and spearheading the organizational architecture of systems, workflows, and communications that significantly impact the student journey at the College of New Caledonia. This role is pivotal in directing, developing, and executing enrolment initiatives and enhancements while ensuring a student-focused approach tailored to optimize the overall experience for learners. The incumbent serves as a crucial liaison, offering specialized expertise in enrolment systems, workflows, and communications to college administrators, faculty, and students. The leadership provided in this position is essential to the institution's strategic enrolment management framework, which encompasses enrolment strategy and financial sustainability.
Key Responsibilities
- Oversees business enhancements and provides project management guidance for enrolment-related systems, workflows, and communications, collaborating with administrators, faculty, and staff across the institution.
- Leads comprehensive modernization initiatives that directly affect students, staff, and faculty, including the deployment of self-service technologies and associated processes, utilizing established business process, project, and change management methodologies.
- Partners with other process improvement advocates throughout the college to foster a campus-wide culture of continuous enhancement.
- Manages the creation and upkeep of process documentation and training materials for all departments, assisting team members in enhancing their technical skills.
- Supports the Manager of Continuing Education, Registrar, and Associate Registrar in cultivating and maintaining a robust understanding of business processes and systems to effectively provide student-centered and solution-oriented consulting to college leadership and stakeholders.
- Employs sound project management practices in alignment with Project Management Institute (PMI) standards and guidelines.
- In collaboration with Institutional Research, provides leadership, training, and guidance to stakeholders across the college to validate and enhance data collection, standards, integrity, course and exam scheduling, reporting, and general problem-solving.
- Acts as a liaison between the Continuing Education, Office of the Registrar, Finance, and Information Technology Services (ITS), closely collaborating with ITS on projects related to Ellucian Enterprise Resource Planning (ERP)/Student Information System (SIS) products, ensuring optimal performance and utilization of systems and platforms.
- Manages fee structures and ensures accurate calculations for students.
- Stays informed about systems and management practices, emerging technologies, and software development through self-directed learning and maintaining connections with peers at other institutions.
- Participates in committees, associations, and organizations both internal and external to the college to remain updated on current trends and regulatory requirements.
- Evaluates, mentors, and provides constructive feedback to teams and individuals across the college to enhance system utilization, data management, business processes, and project management skills.
- Utilizes Strategic Enrolment Management principles in communications.
- Creates and maintains communication strategies that align with enrolment plans, ensuring a consistent message while adhering to college branding guidelines.
- Develops methods for collecting communication metrics and monitors activities to achieve the college's objectives.
- Researches best practices and innovative communication models for implementation.
- Ensures all team members are well-versed in the policies, protocols, and procedures guiding the work of the Office of the Registrar, Continuing Education, and beyond.
- Attends meetings and participates in committees as assigned by the Manager of Continuing Education.
- Fosters a positive work environment by engaging and communicating professionally, demonstrating mutual respect with students and colleagues.
- Contributes as part of a team to achieve the vision, mission, and goals of the college while supporting the aspirations and needs of learners.
- Performs other related duties as assigned.
Qualifications
- Bachelor's degree (or higher) in Business, Information Systems, or a related field.
- Project Management Professional Certification is preferred.
- A minimum of 5 years of relevant experience within a post-secondary institution, including project management experience. An equivalent combination of education and experience may be considered.
- In-depth knowledge of post-secondary operations, program offerings, and admission/registration policies and procedures.
- Demonstrated leadership skills including initiative, sound decision-making, persistence, creativity, resourcefulness, and accountability for results.
- Able to effectively synthesize data to streamline complex workflows.
- Experience in policy development, application, and administration.
- Strong technical aptitude and eagerness to learn new platforms and tools.
- Proficient in computer skills, including ERP/SIS products (preferably Colleague), CRM products, word processing (MS Word), spreadsheets (MS Excel), and database software (MS Access/Project) and data/process mapping software (MS Visio).
- Exceptional interpersonal skills across diverse groups and situations.
- Experience in public speaking and the ability to convey technical and functional knowledge clearly and instructively.
- Proven work ethic for managing multiple projects, completing tasks independently with accuracy and creativity, and meeting deadlines under pressure.
