Position Overview

The Systems and Project Management Lead plays a crucial role in shaping the operational framework of systems, processes, and communications that significantly enhance the student experience at the College of New Caledonia. This position is tasked with steering, developing, and executing enrollment initiatives and enhancements while maintaining a focus on student-centered strategies that ensure optimal experiences for learners. The incumbent serves as a vital link, offering specialized insights into enrollment systems, processes, and communications to college administrators, staff, and students. The leadership provided in this role is essential to the institution's strategic enrollment management framework, which encompasses enrollment planning and financial sustainability.

Key Responsibilities

  1. Directs business enhancement initiatives and provides project management oversight for enrollment-related systems, processes, and communications, collaborating with administrators, faculty, and staff across the institution.
  2. Champions campus-wide modernization efforts that directly affect students, staff, and faculty, including the deployment of self-service technologies and associated processes, utilizing established business process, project, and change management methodologies.
  3. Partners with other process improvement advocates throughout the college to foster a culture of continuous improvement.
  4. Manages the creation and upkeep of process documentation and training materials for all departments, aiding team members in enhancing their technical skills.
  5. Assists the Manager of Continuing Education, Registrar, and Associate Registrar in cultivating and sustaining a comprehensive understanding of business processes and systems to effectively provide student-focused and solution-oriented consulting to college leadership and stakeholders.
  6. Employs sound project management practices in alignment with Project Management Institute (PMI) standards and guidelines.
  7. In collaboration with Institutional Research, provides leadership, training, and guidance to stakeholders across the college to validate and enhance data collection, standards, integrity, course and exam scheduling, reporting, and general problem-solving.
  8. Acts as a liaison between the Continuing Education, Office of the Registrar, Finance, and Information Technology Services (ITS), closely collaborating with ITS on projects related to various ERP/SIS products, ensuring optimal system performance and utilization.
  9. Oversees fee structures and ensures accurate calculations for student accounts.
  10. Stays informed about current systems and management practices, emerging technologies, and software developments through self-directed learning and professional networking.
  11. Engages in committees, associations, and organizations both within and outside the college to remain updated on current trends and regulatory requirements.
  12. Evaluates, mentors, and provides constructive feedback to teams and individuals across the college to enhance system usage, data management, business processes, and project management skills.
  13. Utilizes Strategic Enrollment Management principles in communications.
  14. Creates and maintains communication strategies that align with enrollment objectives, ensuring a consistent message while adhering to college branding guidelines.
  15. Develops methodologies for gathering communication metrics and tracks, monitors, and reports on activities to fulfill the college's goals and objectives.
  16. Researches and implements best practices and innovative communication models.
  17. Ensures that all team members are well-versed in the policies, protocols, and procedures governing the operations of the Office of the Registrar, Continuing Education, and related areas.
  18. Participates in meetings and serves on committees as designated by the Manager of Continuing Education.
  19. Fosters a positive work environment through professional interactions and communication that reflect mutual respect for students and colleagues.
  20. Contributes as part of a team to achieve the vision, mission, and goals of the college while supporting the aspirations and needs of learners.
  21. Performs additional related duties as required.

Qualifications

  1. Bachelor's degree or higher in Business, Information Systems, or a related field.
  2. Project Management Professional Certification is preferred.
  3. A minimum of 5 years of relevant experience in a post-secondary institution, including project management experience. An equivalent combination of education and experience may be considered.
  4. In-depth knowledge of post-secondary operations, program offerings, and admission/registration policies and procedures.
  5. Demonstrated leadership qualities including initiative, effective decision-making, resilience, creativity, and accountability.
  6. Ability to synthesize data effectively to streamline complex processes.
  7. Experience in policy development, application, and administration.
  8. Strong technical aptitude with a willingness to learn new platforms and tools quickly.
  9. Proficient in computer applications, including ERP/SIS systems (preferably Colleague), CRM software, word processing (MS Word), spreadsheets (MS Excel), and database software (MS Access/Project).
  10. Exceptional interpersonal skills, capable of engaging with a diverse range of individuals and situations.
  11. Experience in public speaking and the ability to convey technical and functional knowledge clearly.
  12. Proven ability to manage multiple projects effectively, demonstrating accuracy, thoroughness, and creativity under pressure.
  13. Capacity to maintain confidentiality and adhere to privacy standards concerning student information.
  14. Strong project management skills and experience.
  15. High attention to detail and ability to integrate systems across the organization.
  16. Skilled in problem-solving, planning, and implementation practices.
  17. Ability to analyze and visualize processes through mapping techniques.
