The College of New Caledonia is seeking a highly skilled Business Systems and Project Lead to join our team. As a key member of our organization, you will be responsible for establishing plans and leading the organizational design of systems, processes, and communications that directly influence a student's experience at our institution.
Key Responsibilities- Project Management Leadership: Lead business improvements and provide project management leadership for enrolment-related systems, processes, and communications, liaising with administrators, faculty, and staff from all areas of the College.
- Campus-Wide Modernization: Lead campus-wide modernization projects directly impacting students, staff, and faculty, including the implementation of self-service technologies and related processes using established business process, project, and change management principles and tools.
- Process Improvement: Collaborate with and provide expertise to other process improvement champions across the college in support of a campus-wide culture of continuous improvement.
- Documentation and Training: Oversee the development and maintenance of process documentation and training resources for all areas, and support team members in building capacity in being technically proficient.
- Business Process Knowledge: Support the Manager, Continuing Education, Registrar, and Associate Registrar in developing and maintaining a high level of business process and system knowledge to effectively deliver student-centered and solution-oriented consulting to college leadership, Deans, and campus-wide stakeholders.
- Project Management Methodologies: Practice sound project management methodologies in accordance with Project Management Institute (PMI) standards and guidelines.
- Data Collection and Analysis: In collaboration with Institutional Research, provide leadership, training, and direction to stakeholders across the college to validate and improve data collection, data standards, data integrity, course and exam scheduling, reporting, and general problem solving.
- System Optimization: Serve as an interface between the Continuing Education, Office of the Registrar, Finance, and Information Technology Services (ITS), and work closely with ITS on projects related to Ellucian Enterprise Resource Planning (ERP)/Student Information System (SIS) products, SQL reporting, Customer Relationship Management (CRM), AI Chatbot, Text Messaging, XML data interchange, and provincial application systems, ensuring peak optimization and utilization of systems and platforms.
- Fees and System Accuracy: Oversee fees and ensure systems are accurately calculating appropriate amounts to students.
- Technical Knowledge and Skills: Stay current with systems and management practices, new technologies, and software development through self-directed study and by maintaining relationships with colleagues at other institutions. Maintain a working knowledge of current Colleague releases, defects, upgrades, and enhancements that may affect or be related to student business system/processes.
- Committee Participation: Participate in committees, associations, and organizations both internal and external to the college (including Ellucian Colleague-based peer institutions) to keep informed about current trends and provincial/federal requirements.
- Coaching and Feedback: Assess, coach, and provide constructive feedback to teams and individuals across the College to strengthen system utilization, data management, business process, and project management competencies.
- Communication Planning: Develop and maintain communication plans that complement enrolment plans and ensure consistent voice and calls to action, while observing CNC approved branding guidelines.
- Communication Metrics: Develop strategies for the collection of communication metrics and track, monitor, and report on activities to achieve the goals and objectives of the College.
- Best Practices and Innovation: Seek out best practices and innovative models of communication for implementation.
- Policies and Procedures: Ensure that all team members are thoroughly familiar with the policies, protocols, and procedures that guide the work of the units within the Office of the Registrar, Continuing Education, and beyond.
- Teamwork and Collaboration: Engage as part of a team in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners.
