Position Overview

Under the supervision of the Dean, this role is dedicated to enhancing the operations of the Centre for Teaching and Learning (CTL). The primary responsibilities include orchestrating and facilitating the creation and execution of CTL staff training, faculty orientations, and associated resources. This position collaborates with relevant Project Planners to formulate action plans based on data insights and ensures effective communication between academic departments and Teaching & Learning for quality assurance purposes.

Key Responsibilities
  • Oversees CTL initiatives and activities, including the orientation and onboarding of CTL personnel and program faculty, along with resource sharing and online presence.
  • Engages with CTL and other program staff concerning training and curriculum development initiatives.
  • Evaluates administrative aspects of activities and provides necessary guidance.
  • Formulates strategies to enhance information technology education development and execution.
  • Analyzes data and prepares comprehensive reports, including suggestions for enhancements.
  • Collaborates with Project Planners to develop, monitor, and evaluate action plans for improvements.
  • Conducts research, offers advice, and coordinates special initiatives; this includes establishing effective reporting models, summarizing findings, and analyzing complex information.
  • Identifies best practices, initiates activities, and collaborates for effective outcomes and recommendations.
  • Supports the LMS Administrator during their absence or peak periods, as needed.
  • Assists in guiding operational, administrative, faculty, and student employees in utilizing software applications and the LMS utilized by the institution.
  • Demonstrates software functionality through presentations, creating detailed guides for software usage.
  • Provides ongoing technical support for the learning management system and other educational technologies.
  • Offers relief support for basic office operations when the Administrative Assistant is unavailable.
  • Provides project assistance for office or institutional initiatives as required.
  • Facilitates student focus groups and surveys as necessary.
  • Contributes to achieving the vision, mission, and goals of the institution while supporting the aspirations and needs of learners and communities.
  • Promotes a positive work environment and communicates professionally, demonstrating mutual respect with students and colleagues.
  • Performs other duties as assigned by the Dean or their designate.
Qualifications and Skills
  • Bachelor's degree (or higher) in project management, business, or education.
  • Minimum of 3 years of experience in project management.
  • Proven ability to manage multiple projects within specified timelines.
  • Demonstrated capacity to effectively manage all resources necessary for project completion.
  • Strong ability to gather, analyze, integrate, and summarize complex and diverse materials, providing accurate and current information and advice.
  • Ability to compose clear, structured, and articulate reports with well-founded recommendations.
  • Proficient in relevant technological tools, including word processing, database management, spreadsheets, email, internet, and research technologies.
  • Good understanding of relevant office procedures and practices, with attention to detail essential for planning, implementing, and maintaining special projects.
  • Excellent problem-solving skills, including the ability to address a variety of unusual conditions using analytical skills and innovative approaches.
  • Experience with learning management systems and various distributed learning modalities is advantageous.
  • Effective group facilitation skills are required; training or certification in group facilitation is a plus.
  • Demonstrates strong initiative and judgment in professional settings.
  • Ability to organize and schedule workload with minimal supervision.
  • Works effectively and calmly under pressure.
  • Proven attention to detail.
  • Ability to maintain confidentiality of sensitive information.
  • Exhibits excellent oral and written communication skills.
  • Proven ability to cultivate and maintain positive working relationships, both internally and externally.
