Client Relations Specialist

McInnis & Holloway Funeral Homes, a family-operated establishment with a rich history in the Calgary community and a leader in the funeral services sector for over a century, is in search of a committed and skilled individual to become part of our vibrant and expanding team as a Client Relations Specialist. This position provides a diverse range of daily responsibilities, a positive workplace culture, and a collaborative team atmosphere.
This position is based in-office.
Standard working hours are Monday to Friday, 8:30 AM to 4:30 PM.
Role Overview
The Client Relations Specialist plays a crucial and distinctive role at McInnis & Holloway Funeral Homes. This position collaborates closely with Funeral Directors and Administrators to facilitate smooth communication and support for families. The responsibilities encompass various administrative functions that aid the funeral home's operations, acting as a liaison between families and our professional staff to guarantee a compassionate and effective service.
This role is particularly suited for an experienced licensed funeral director seeking a change of pace or a newly licensed director eager to develop within a nurturing team. The position offers structured hours in an office setting while still allowing engagement in the industry. It is ideal for someone who is empathetic, detail-oriented, and aims to make a significant difference by assisting families during challenging times.
Key Responsibilities:
- Provide follow-up information and assistance to families after initial arrangements have been finalized, ensuring all inquiries and concerns are addressed promptly and sensitively.
- Coordinate with the Public Trustee office to facilitate services, ensuring compliance with all legal and administrative requirements.
- Respond to general inquiries regarding our services, delivering accurate and helpful information to callers to meet their needs.
- Monitor TEAMS for incoming messages, redirecting them to the appropriate staff members and following up to ensure timely acknowledgment and resolution.
- Manage emails, calls, and TEAMS messages related to pricing inquiries, ensuring families receive timely and accurate information to prevent them from seeking alternatives.
- Assist with incoming calls when all central reception staff are occupied, ensuring no call goes unanswered and all inquiries are promptly addressed.
- Support the completion of necessary medical and vital statistics documentation, ensuring accuracy in all paperwork.
- Help manage pre-need files, addressing any questions related to pre-need arrangements and ensuring all information is current and accurate.
Qualifications:
- Previous experience as a Funeral Director or in Administration is preferred.
- Possession of a Funeral Director license or progress towards obtaining one.
- Completion of the Funeral Director diploma or enrollment in the program is advantageous.
- Strong organizational skills and meticulous attention to detail.
- Excellent verbal and written communication abilities.
- Capability to handle sensitive information with empathy and discretion.
- Proficiency in TEAMS and other Microsoft Office applications.
- Aptitude for multitasking and effective time management.
- Comfort with Google Docs.
- Professional demeanor and willingness to wear a company uniform.
