Role Overview

The Graduate Program Administrative Assistant serves as the primary liaison and resource for graduate students and their supervisors within the Mathematics Department. This position is instrumental in facilitating admissions, registrations, course management, grading, thesis defenses, scholarship applications, and preliminary program evaluations. A comprehensive understanding of both departmental and university policies regarding graduate studies is essential.

To excel in this role, the ideal candidate should possess outstanding interpersonal and communication skills, a keen attention to detail, and the ability to work autonomously under general supervision. This position is centered around supporting faculty, students, and staff, making a people-oriented approach crucial.

Qualifications

Applicants should have completed high school and possess relevant training in office procedures, word processing, databases, and spreadsheets, typically equivalent to one semester. A minimum of two years of related experience is required, although an equivalent combination of education and experience may be considered.

  • Typing proficiency of 55 words per minute with high accuracy.
  • Strong knowledge of standard office practices and equipment.
  • Exceptional analytical reasoning, problem-solving, and organizational abilities.
  • Excellent verbal and written communication skills.
  • Strong proofreading capabilities.
  • Proficiency in word processing, database, presentation, and spreadsheet software (e.g., Word, Access, Excel, PowerPoint) at an intermediate level.
  • Experience with enterprise-level information systems (e.g., PeopleSoft, SIMS, OASIS, or similar).
  • Familiarity with content editing applications (e.g., Adobe Experience Manager, Photoshop) and PDF software (e.g., Adobe Acrobat) for basic web page updates.
  • Competence in using email and calendar tools (e.g., SFU Connect Calendar).
  • Ability to manage confidential and sensitive information with discretion.
  • Strong arithmetic skills with a high degree of accuracy.
  • Capability to work independently and meet deadlines.
  • Ability to exercise sound judgment and communicate with tact.
  • Physical ability to lift and carry office supplies and materials (up to 10 kg).
  • Flexibility to work varied hours as needed.
