The Graduate Studies office oversees the administration of over 140 graduate programs across multiple campuses and faculties. We support the university's vision and leadership through the Dean and Vice-Provost, ensuring compliance with graduate policies and providing administrative direction and training for processes and systems. Additionally, we facilitate support for graduate students, faculty, and programs, addressing both individual and systemic challenges while promoting student engagement and professional development.

Role Overview

The Graduate Admissions and Records Assistant plays a pivotal role in supporting daily operations and enhancing the graduate student experience. This position serves as a knowledgeable resource for inquiries from applicants, students, staff, and faculty regarding applications, admissions, fee assessments, deadlines, registration, grading, records inquiries, thesis and defense matters, convocation, and university policies and procedures. The Assistant collaborates with the admissions and records teams, as well as the broader Graduate Studies department, to ensure timely access to resources and support for students, faculty, and staff. This role involves consulting with the Associate Director of Graduate Admissions, Records, & Registration, and area Managers regarding reporting, tracking, and escalation of inquiries as necessary. Responsibilities include reviewing and processing various forms and documents while ensuring adherence to procedures and accuracy. The Assistant also provides guidance on policies to graduate program assistants concerning admissions, records inquiries, and graduation, and collaborates with the Manager to address exceptions effectively.

Qualifications

High School graduation with one year of post-secondary education, including training in word processing, database, and spreadsheet applications, along with three years of relevant experience. An equivalent combination of formal education, training, and experience is acceptable.

  • Ability to manage a high volume of work within established deadlines.
  • Capability to work effectively as part of a team.
  • Adaptability to new software applications and procedures, assisting stakeholders as needed.
  • Solid understanding of graduate institution regulations, programs, policies, and procedures.
