Role Overview

The Graduate Program Administrator serves as the primary liaison and resource for graduate students and their supervisors within the Mathematics Department. This position facilitates admission processes, registration, course management, grading, thesis defenses, scholarship and award applications, and assists with preliminary program evaluations. A thorough understanding of both departmental and university policies and procedures related to graduate studies is essential.

To excel in this role, the ideal candidate should possess outstanding interpersonal and communication skills, be detail-oriented, and capable of working independently under general supervision. This position is fundamentally supportive, necessitating a people-centered approach in all interactions.

Qualifications

Completion of high school and relevant coursework or training of moderate duration (equivalent to one semester) in word processing, database management, spreadsheet applications, and office practices. A minimum of two years of related experience is required. An equivalent combination of formal education, certification, and experience will also be considered.

  • Typing proficiency of 55 words per minute with high accuracy.
  • Strong understanding of standard office practices, procedures, and equipment.
  • Excellent analytical reasoning, problem-solving, and organizational capabilities.
  • Superior interpersonal and communication skills (both oral and written).
  • Exceptional proofreading abilities.
  • Proficiency in word processing, database, presentation, and spreadsheet applications (e.g., Word, Access, Excel, PowerPoint) at an intermediate level.
  • Familiarity with enterprise-level information systems (e.g., PeopleSoft, SIMS, OASIS, or similar).
  • Ability to utilize content editing applications (e.g., Adobe Experience Manager, Photoshop) and PDF software (e.g., Adobe Acrobat) for simple web page modifications.
  • Competence in using email calendaring tools (e.g., SFU Connect Calendar).
  • Capacity to handle confidential and sensitive information with discretion.
  • Aptitude for performing arithmetic calculations with high accuracy.
  • Ability to work independently and meet deadlines.
  • Judgment and tact in communication.
  • Physical ability to lift, move, or carry office supplies and program/course materials (up to 10 kg).
  • Flexibility to work varied hours as needed.
